Job Purpose:
Reporting to the Senior Specialist, Marketing Activation, the primary responsibility of the Marketing & Events Coordinator is to lead the planning, coordination, and execution of approved events, including trade shows, conferences, community events, clinic initiatives, and grand openings. This role supports brand awareness and engagement through consistent event execution while also providing administrative, invoicing, and logistics support to the Marketing Team. The successful candidate will collaborate closely with internal stakeholders, clinic teams, and external vendors to deliver brand-aligned experiences and ensure adherence to company policies, budgets, and marketing objectives.
Success Criteria
- Smooth coordination of event logistics, including bookings, shipping, accommodations, and event execution.
- Effective support and communication across internal stakeholders, clinic teams, and external vendors.
- Consistent delivery of events and marketing materials in accordance with brand standards and budgets.
- Timely and accurate handling of invoicing and administrative tasks.
Responsibilities & Key Performance Activities:
- Coordinate and execute trade shows, conferences, community events, clinic initiatives, and grand openings.
- Manage event logistics including venue bookings, hotel accommodations, shipping, vendor coordination, event checklists, and attendee communications.
- Coordinate event setup and support onsite execution, including managing booth requirements, equipment, vendors, and event troubleshooting as required.
- Coordinate, order, and distribute promotional materials, event collateral and branded merchandise in accordance with approved budgets.
- Develop and maintain strong relationships with internal stakeholders, clinic teams, vendors, and agency partners to ensure successful event execution.
- Initiate and maintain cross-functional communication channels to ensure event activities align with evolving business priorities.
- Manage intake and prioritization of event requests from Regional Managers, clinics, and internal stakeholders.
- Track event budgets and maintain accurate records of costs, invoices, event details, and outcomes.
- Assist with post-event reporting, feedback collection, and performance analysis.
- Process invoices and provide ongoing administrative support for Marketing programs and initiatives.
Required Experience and Considerations:
- Post-secondary education in Marketing, Event Management, or a related field; Bachelor’s Degree preferred.
- 1-3 years of experience in marketing, event management or a related field.
- Strong understanding of event planning and execution.
- Excellent written and verbal communication skills.
- Strong project management, organizational, and stakeholder management skills.
- Proven ability to manage multiple projects and competing priorities with exceptional attention to detail.
- Strong relationship-building skills and experience working with external vendors and agencies.
- Proficiency with Microsoft 365, Adobe Creative Suite, Asana, and other workflow management tools.
- Familiarity with analytical, automation, and database tools is an asset.
- Open to travel within Canada to support onsite activation when needed.
