Client-side media coordinator at Campfire Consulting, a growing, Portland-based media agency.

Location: Hybrid, 3 days in-office, Portland, ME

Employment Type: Full-time hire

Description

Campfire Consulting is a media strategy agency built on purpose, transparency, and performance. As a certified B Corp and 1% for the Planet member, we partner with brands and organizations that care deeply about how their message shows up in the world and how their media dollars move both their business and our culture forward.

We're looking for a Media Coordinator to keep client work organized, on schedule, and aligned with scope. You'll support client status meetings, manage tasks in our project management system, and support linear media vendors, trafficking, and our agency partnerships. You'll also help document and improve how our team works.

This is a role for the type of person who naturally color codes their calendar and makes check lists for the satisfaction of checking boxes. They should enjoy working with clients and feel comfortable setting expectations and holding clients and senior team members accountable to timelines and commitments. You'll work closely with our Managing Director and client services team. The role is designed to grow into a Media Account Manager position, and we'll invest in training and mentorship to get you there.

What You'll Do

  • Facilitate client status meetings, capture decisions and next steps, and track them to completion in our project management system
  • Help set client expectations in line with our scopes of work and SLAs, and flag requests that fall outside scope
  • Support linear media vendor management, including insertion orders, traffic instructions, creative delivery, and makegoods
  • Coordinate with agency partners and track interagency tasks so deliverables and deadlines are met
  • Keep team members on schedule and follow up on open items across your book of business
  • Document workflows and keep existing process documentation current so processes stay clear and followed
  • Work with the Managing Director and client services team on process improvements and automations that reduce manual work
  • Support media plan build-out, pacing checks, and reporting in Excel and Google Sheets as needed
  • Support projects beyond your core accounts when needed

How We Measure Success

  • Status meetings run on time, with notes and next steps sent promptly
  • Tasks in our project management system are thorough, current, assigned, and closed out on schedule
  • Client requests are handled within scope and SLA, and out-of-scope asks are flagged early
  • Linear orders, traffic, and vendor communications are accurate and on time
  • Partner and interagency deliverables arrive when expected
  • Process documentation is complete, current, and used by the team
  • Steady growth in client relationship skills and media knowledge

What We're Looking For

  • 1 to 2 years of experience in an agency, media, or client services role
  • Some exposure to paid media, with a preference for a mix of linear and digital media buying
  • Strong Excel skills for tracking, pacing, and reporting
  • Previous experience working in project management platforms such as ClickUp, Asana, or Monday
  • Strong organization and project management skills, and enjoyment of keeping work on track
  • Comfort speaking up in client meetings and holding clients and senior team members accountable
  • Clear, timely written and verbal communication
  • Interest in process, documentation, and finding ways to automate repetitive work
  • A desire to grow into a Media Account Manager role on a small team with room for advancement
  • Familiarity with Google Sheets, GA4, or ad platforms is a plus

Benefits

We believe in taking care of our people so they can take care of the work. The following benefits are included with this role:

  • Hybrid work environment with three days in our Portland, ME office (Tuesday to Thursday) and remote or in-office Mondays and Fridays
  • Flexible PTO and company holidays, including a paid week off between Christmas and New Year's
  • Health insurance (medical, dental, vision)
  • 401(k) with company match (following first 3-months)
  • Paid volunteer time to support causes you care about
  • Profit-sharing opportunities based on agency performance
  • Parental leave and flexible schedules for caregivers
