The CAO is a delegated administrative authority that supports condo living and enhances consumer protection by providing services and resources that reach all condo communities across Ontario. We are accountable to the government through an Administrative Agreement with the Minister of Public and Business Service Delivery and Procurement. The seven-member board of directors provide strategic guidance and oversight of the organization. Our Mission: Engage and empower Ontario’s condominium communities with information, education, and dispute resolution Corporate Values: Innovation, trust, teamwork, value for money, integrity, fairness Team Values: Respect, trust, diversity, collaboration, leadership Role Purpose The Condominium Authority of Ontario is seeking a Mediation Services Coordinator to support the implementation and administration of its Community Mediation Pilot Program. The pilot program is designed to assess the effectiveness of community-based mediation services in helping condominium communities resolve disputes constructively and efficiently. The successful candidate will play a key role in coordinating program operations, supporting volunteer mediators, maintaining case administration processes, and ensuring the timely progression of mediation files. Reporting to the Director, Policy, Programs & Dispute Resolution, the Mediation Services Coordinator (the "Coordinator") is responsible for the administration, coordination, and operational delivery of the CAO Community Mediation Pilot Program. The Coordinator serves as the central point of contact for applicants, volunteer mediators, and participating parties, supporting intake, eligibility screening, case assignment, scheduling, stakeholder communications, records management, and program evaluation activities. The Coordinator plays a critical role in ensuring that mediation files progress efficiently, stakeholders receive timely support, and pilot outcomes are accurately tracked and reported. Key Responsibilities Program Administration & Intake Respond to inquiries regarding the Community Mediation Pilot Program. Provide information to prospective applicants, participants, and other stakeholders regarding program processes and eligibility requirements. Coordinate intake activities and support case administration throughout the mediation process. Conduct preliminary eligibility screening in accordance with approved program criteria and procedures. Case Coordination Assign cases to co-mediation teams based on availability, capacity, and other operational considerations Coordinate scheduling and administrative logistics for mediators and participants Monitor case progress and support the timely completion of mediation activities. Identify operational issues and escalate matters as appropriate. Stakeholder Support Serve as the primary contact for volunteer mediators participating in the pilot. Maintain regular communication with applicants, mediation participants, volunteer mediators, and other stakeholders. Support a positive participant experience through timely, professional, and responsive service. Records, Reporting & Evaluation Maintain accurate and confidential case files, records, and program documentation. Ensure the accurate collection and maintenance of program data, metrics, and statistical information. Support participant feedback collection and pilot evaluation activities. Prepare reports, summaries, and updates regarding program activity and outcomes. Assist with the development and continuous improvement of program procedures, tools, and resources. Continuous Improvement Identify opportunities to enhance service delivery and administrative efficiency. Contribute recommendations regarding pilot design, operational processes, and future program implementation. Qualifications, Skills & Knowledge Required Post-secondary education in a relevant field, or an equivalent combination of education and experience. Demonstrated experience providing administrative, program coordination, or case management support. Excellent organizational skills with the ability to manage multiple priorities and competing deadlines. Strong interpersonal and communications skills, both written and verbal. Demonstrated commitment to professionalism, discretion, and confidentiality when managing sensitive information. Proficiency with Microsoft Office applications and virtual meeting platforms. Strong customer service and stakeholder management skills. Assets Experience in mediation, dispute resolution, alternative dispute resolution (ADR), or community-based conflict resolution. Mediation training, certification, or postgraduate education related to dispute resolution. Experience supporting volunteer-based programs or initiatives. Experience in project coordination, program administration, or case management. Knowledge of Ontario’s condominium sector and condominium governance. Experience working within a regulatory, public-sector, tribunal, or not-for-profit environment. Compensation & Engagement terms Six-month independent contractor engagement. Hourly rate of $30-38 per hour, with invoices submitted and paid on a bi-weekly basis. Full-time anticipated workload during the engagement period. Fully remote work arrangement, with occasional attendance at meetings as required. Contractor will be responsible for own applicable statutory remittances, insurance, and business expenses unless otherwise agreed to in advance. The CAO or the Contractor may terminate the engagement at any time by providing two (2) weeks’ written notice.
