Job Summary:
We are seeking a compassionate and detail-oriented Customer Service Representative (CSR) to support our medical intake team for Applied Behavior Analysis (ABA) services. The CSR will be the first point of contact for families seeking ABA therapy, assisting with intake coordination, insurance verification preparation, and scheduling evaluations. This role requires excellent communication skills, empathy when speaking with parents and caregivers, and strong organizational abilities.
Key Responsibilities:
- Serve as the first point of contact for incoming calls, emails, and inquiries from families seeking ABA therapy services
- Conduct initial patient intake and gather required demographic and clinical information
- Explain the intake process and guide families through onboarding steps
- Verify and collect insurance information and coordinate with the billing/authorization team
- Schedule initial assessments and coordinate with clinical staff
- Maintain accurate records in the company’s electronic health record (EHR) or CRM system
- Follow up with families regarding missing documents, forms, or required information
- Ensure all intake documentation is complete and compliant with company policies and healthcare regulations
- Provide exceptional customer service with sensitivity to families navigating developmental diagnoses
Qualifications:
- High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred
- 1–2 years of customer service experience (healthcare or medical intake preferred)
- Experience with ABA services, behavioral health, or pediatric healthcare is a plus
- Familiarity with insurance verification and medical intake processes preferred
- Strong communication, problem-solving, and organizational skills
- Ability to manage multiple tasks in a fast-paced environment
- Proficiency with EHR systems, Microsoft Office, and CRM platforms
Preferred Skills:
- Experience working with families of children with autism or developmental disabilities
- Knowledge of ABA terminology and therapy workflow
- Bilingual (Spanish or other languages) is a plus
Compensation
The base pay range for this role is $5 – $6 per hour.
