This position combines patient scheduling, front-desk operations, prescription coordination, medication prior authorizations, and clinical administrative support.

The primary focus will be managing patient communications, coordinating appointments, processing prescription requests, obtaining medication authorizations, and scheduling laboratory and radiology services. The selected candidate will work closely with Physicians, Nurse Practitioners, and onsite clinic staff to ensure efficient patient care coordination and timely completion of administrative tasks.

The ideal candidate has experience supporting a U.S. medical practice, is comfortable handling patient-facing responsibilities, and has hands-on experience using eClinicalWorks (eCW).

Key Responsibilities

1. Patient Scheduling & Front Desk Operations

  • Schedule, reschedule, and coordinate patient appointments, follow-up visits, procedures, and other clinical services using eClinicalWorks (eCW).

  • Manage appointment requests, prospective patient leads, reminders, and patient communications through phone, email, and text.

2. Prescription & Medication Coordination

  • Process prescription requests, new medication orders, and refill requests using Squad Health according to provider instructions and clinic protocols.

  • Coordinate prescription-related communications between patients, providers, and pharmacies.

  • Maintain accurate medication documentation, follow up on pending requests, and resolve prescription-related administrative concerns.

3. Medication Prior Authorizations & Insurance Verification

  • Initiate, process, and follow up on medication prior authorizations, ensuring timely submission of required documentation.

  • Verify patient insurance eligibility, benefits, and coverage information for medications, procedures, and services.

  • Monitor authorization statuses, address pending or denied requests, and coordinate with insurance representatives and providers.

4. Laboratory, Radiology & Diagnostic Scheduling

  • Coordinate and schedule laboratory tests, radiology appointments, imaging studies, and other diagnostic services ordered by providers.

  • Communicate with laboratories, imaging centers, and patients regarding appointments, preparation instructions, and scheduling requirements.

  • Track pending diagnostic orders, follow up on incomplete appointments, and coordinate the receipt and routing of results to providers.

Required Qualifications

  • At least 1 year of hands-on experience supporting a U.S.-based medical practice.

  • Direct, hands-on experience using eClinicalWorks (eCW) is required.

  • Experience in medical reception, patient scheduling, and Medical Assistant-related administrative responsibilities.

  • Experience coordinating prescription requests, medication refills, and pharmacy communications.

  • Knowledge of medication prior authorizations, insurance verification, and authorization follow-up procedures.

  • Familiarity with laboratory, radiology, imaging, and diagnostic appointment scheduling.

  • Excellent written and verbal English communication skills.

  • Strong organizational skills, attention to detail, and ability to manage multiple administrative tasks.

  • Comfortable communicating directly with U.S. patients, Physicians, Nurse Practitioners, pharmacies, and insurance representatives.

  • Ability to work independently in a remote environment while maintaining consistent communication with the clinic team.

Tools & Systems

Candidates should be comfortable using or learning the following systems:
