Show job description

We are seeking a warm, bubbly, and exceptionally articulate Virtual Medical Receptionist to serve as the friendly voice of our pediatric-focused medical practice. In this key patient-facing position, you will be the first point of contact for parents, caregivers, and young patients—handling high-volume phone calls, managing provider appointment schedules, and performing insurance Verification of Benefits (VOB).

The ideal candidate possesses elite, accent-neutral English communication skills and a bright, empathetic phone presence that instantly puts parents and children at ease. While prior experience with eClinicalWorks (eCW) and pediatric healthcare settings are major advantages, top-tier verbal communication, warmth, and reliable front-desk execution are our highest priorities.

Working Environment & Core Schedule

  • Role Title: Virtual Medical Receptionist (Pediatric Focus)
  • Status: Full-Time (40 Hours / Week)
  • Schedule: Monday – Friday, 8:00 AM – 5:00 PM EST (Eastern Standard Time)
  • Core Systems: eClinicalWorks (eCW EHR) (Strong plus), VoIP Phone System, Insurance Portals
  • Target Audience: Pediatric patients, parents, and family caregivers

Top 3 Daily Tasks

  1. Inbound & Outbound Phone Management: Answer incoming calls with a cheerful, warm, and professional demeanor—addressing scheduling inquiries and assisting parents with care coordination.
  2. Patient Scheduling & Calendar Management: Book, confirm, and optimize provider appointment calendars in eClinicalWorks to maintain an efficient pediatric clinic flow.
  3. Insurance Verification of Benefits (VOB): Check insurance coverage, active eligibility, and co-pay details prior to appointments so families arrive fully prepared.

Core Responsibilities

  • Warm Patient Engagement: Deliver an exceptional, high-touch patient experience over the phone, using patience and active listening to support parents navigating their children's healthcare needs.
  • eClinicalWorks Scheduling: Navigate eCW to book routine pediatric check-ups, follow-ups, and urgent visits while adhering strictly to practice rules and provider preferences.
  • Insurance Eligibility Checks: Conduct real-time Verification of Benefits (VOB) through payor portals and eCW to confirm active coverage and document co-pays or deductibles.
  • Team & Practice Coordination: Relay messages, telephone encounters, and scheduling changes accurately to the in-office clinical team to ensure seamless patient care.
  • Administrative Support: Assist with digital faxes, patient reminder texts/emails, and chart updates while strictly adhering to HIPAA privacy standards.
  • Elite Verbal English Communication: Native-level or flawless spoken English with a neutral, highly clear, and easily understandable phone accent.
  • Personable & Empathetic Demeanor: Naturally bubbly, patient, warm, and confident when speaking with parents, caregivers, and pediatric patients.
  • Medical Front-Desk Experience: Direct background handling front-desk duties, high-volume call handling, and scheduling in a U.S. medical practice setting.
  • Insurance VOB Familiarity: Working knowledge of checking patient insurance eligibility and coverage terms.
  • Remote Workspace Setup: Dedicated, quiet, HIPAA-compliant home office equipped with a high-performance computer (PC/Mac), high-speed internet connection, backup power/internet solutions, and a noise-canceling headset.

Preferred / Strong Plus Qualifications

  • Pediatric Experience: Prior experience working in a Pediatric, Family Medicine, or Children's Specialty practice (Strong Plus).
  • eClinicalWorks (eCW): Hands-on experience navigating eClinicalWorks EHR for scheduling, charting, and insurance checks (Strong Plus).

Ideal Candidate Profile

You are a energetic, cheerful, and articulate communicator who loves helping families. You bring a positive attitude to every call, keep provider schedules filled and organized, and ensure parents feel completely supported from the moment they ring the clinic.
