We are seeking a detail-oriented, organized, and patient-focused Medical Scheduler to join our mental and behavioral healthcare team. The Medical Scheduler will be responsible for coordinating patient appointments, verifying insurance eligibility, managing provider schedules, and ensuring a smooth and positive scheduling experience for patients.
The ideal candidate has at least 3 years of experience in medical scheduling or a similar healthcare administrative role, preferably within mental health, behavioral health, psychiatry, or other specialty healthcare settings. This individual should be comfortable working in a fast-paced environment, communicating with patients and healthcare professionals, and handling sensitive information with professionalism and discretion.

Key Responsibilities
- Schedule and coordinate patient appointments via phone, email, and online scheduling systems.
- Manage provider calendars to ensure efficient scheduling and minimize gaps or scheduling conflicts.
- Verify patient insurance eligibility, benefits, and coverage prior to appointments.
- Obtain and track required insurance authorizations and referrals.
- Confirm upcoming appointments and proactively communicate with patients regarding scheduling changes.
- Handle appointment cancellations, rescheduling, and no-shows in accordance with established procedures.
- Maintain accurate and up-to-date patient demographic, insurance, and appointment information in the EMR/EHR system.
- Coordinate referrals, consultations, and specialty appointments as needed.
- Communicate appointment preparation instructions, required documentation, and other relevant information to patients.
- Answer patient questions regarding scheduling, appointments, referrals, and basic insurance-related matters.
- Collaborate closely with providers, clinical staff, billing teams, and other administrative personnel to prevent scheduling and authorization issues.
- Identify and resolve scheduling conflicts in a timely and professional manner.
- Maintain strict confidentiality and comply with HIPAA and all applicable healthcare privacy regulations.
- Provide a professional, compassionate, and patient-centered experience during every interaction.
- Perform other administrative and scheduling duties as assigned.
- Minimum of 3 years of experience in medical scheduling, healthcare administration, or a related healthcare support role.
- Experience in mental health, behavioral health, psychiatry, psychology, or specialty healthcare is strongly preferred.
- Strong knowledge of medical scheduling processes, insurance verification, referrals, and authorizations.
- Experience working with EMR/EHR systems and electronic scheduling platforms.
- Understanding of HIPAA requirements and patient confidentiality.
- Excellent verbal and written communication skills.
- Strong organizational skills and exceptional attention to detail.
- Ability to manage multiple priorities in a fast-paced healthcare environment.
- Professional, empathetic, and patient-focused approach.
- Ability to communicate effectively with patients, providers, insurance companies, and internal teams.
- Strong problem-solving and follow-up skills.
- Ability to work independently while also collaborating effectively with a multidisciplinary team.
