Role Description
• Product Data Management — Maintain accurate product information, specifications, dimensions, materials, and packaging details across systems and customer-facing documents.
• Sample Coordination — Track development, presentation, sales, testing, pre‑production, and production samples; confirm accuracy and readiness with manufacturing partners; ensure timely delivery to customers.
• Customer Service Transcripts — Convert customer service call recordings into written transcripts using market available speech to text software and provide daily morning summaries to the customer service team.
• Vendor Communication Support — Coordinate with manufacturing partners to resolve product issues, clarify requirements, and maintain smooth workflow.
• Customer Compliance Support — Ensure all product information, packaging, labeling, and documentation meet customer standards.
• Merchandising Documentation — Prepare and update line sheets, assortment lists, cost sheets, and seasonal product decks for internal and external use.
• Timeline Tracking — Monitor key milestones such as sample due dates, production timelines, and buyer presentation schedules; escalate risks proactively.
• Issue Resolution Support — Identify operational bottlenecks, coordinate corrective actions with vendors, and ensure issues are resolved promptly.
• Cross‑Functional Coordination — Support communication between design, manufacturing, and customer service teams to maintain alignment on product status and deliverables.
• Seasonal Merchandising Preparation — Organise product information, images, and specifications for seasonal presentations and assortment reviews.
• Administrative Support — Maintain organised digital records, update shared folders, and support general merchandising operations as needed.
• Shipment Booking Coordination — Work with manufacturing partners to confirm shipment bookings, container allocations, and sailing schedules.
• Logistics Documentation — Ensure all shipping documents (packing lists, invoices, carton labels, compliance forms) are accurate and submitted on time.
• Freight & Forwarder Follow‑up — Coordinate with freight forwarders to track shipment status, confirm ETD/ETA, and resolve logistics delays or discrepancies.
• Customer Routing Compliance — Verify that all shipments follow customer routing guides, labeling requirements, and delivery window instructions.
• Shipment Tracking — Monitor in‑transit shipments, update internal trackers, and provide timely status reports to the merchandising and customer service teams.
• Post‑Shipment Confirmation — Confirm delivery with forwarders and vendors, ensure POD (proof of delivery) is received, and escalate issues when needed.
Qualifications
• Relevant Experience — 5 years of experience in merchandising, product development, supply chain coordination, or related operational roles for seasonal products.
• Technical Skills — Proficiency in Excel, shared-drive file management, and basic data organisation tools; ability to learn customer portals and vendor systems quickly.
• Communication Skills — Strong written and verbal communication skills for coordinating with vendors, freight forwarders, and internal teams across multiple time zones.
• Organisational Strength — Exceptional attention to detail, accuracy in documentation, and ability to manage multiple timelines and deliverables simultaneously.
• Problem‑Solving Ability — Ability to identify issues early, escalate risks, and coordinate corrective actions with vendors and logistics partners.
• Export Market Standards Knowledge — Familiarity with global compliance requirements (packaging, labelling, product testing, factory certification and audits) is preferred.
• Logistics & Shipping Familiarity — Basic understanding of shipment booking, ETD/ETA tracking, freight coordination, and shipping documentation.
• Sample Management Experience — Experience handling development, presentation, sales, testing, pre‑production, and production samples with accuracy and follow‑through.
• Customer Service Support Skills — Ability to convert call recordings into transcripts and summarise key points clearly and professionally.
• Cross‑Functional Collaboration — Comfortable working with design, manufacturing, logistics, and customer service teams to maintain alignment on product status and order follow up.
• Self‑Management — Strong discipline in remote work environments, with the ability to prioritise tasks, meet deadlines, and maintain organised digital records.
• Language Skills — Proficiency in English, Cantonese or Mandarin.
Travel Requirements
• Factory Visits — Ability to travel to manufacturing partners in Mainland China (primarily Guangdong or Jiangsu regions) for ad‑hoc operational tasks, vendor meetings, reviews, production checks, or issue resolution when necessary.
• Seasonal Buyer Meeting Support — Optional travel to Hong Kong–based seasonal presentations or showroom reviews to assist with product setup, documentation, and coordination.
