SUMMARY
This position is responsible for providing administrative support to the General Manager and designated staff members. This includes performing a variety of responsible and confidential duties requiring a thorough knowledge of organizational procedures and precedents.
ESSENTIAL FUNCTIONS
· Makes travel arrangements in a cost-effective manner for designated staff, maintains schedules and calendars, arranges meetings, assists in agenda preparation, gathers information and contacts meeting participants. This includes the coordination of division wide and area wide recorded Zoom meetings.
· Screens telephone calls, visitors and incoming correspondence; determines which interactions a department head or another staff member/department should handle.
· Provides administrative support to the General Manager and designated staff members, requiring thorough knowledge of organizational procedures and precedents. Produces documents using Microsoft Word, PowerPoint, Excel and Project. Prepares graphics and charts.
· Coordinates correspondence and assures timely staff response; independently responds to letters and general correspondence of a routine nature.
· Coordinates routine personnel updates/maintenance, budgetary reporting, expense account documentation, and purchasing/acquisition duties, including securing signatures in a timely basis.
· Maintains accurate records and provides timely information for various activities that support the operations leadership team.
· Supports volunteer activities and in some cases, organizes, plans and communicates details of the community events to the respective region or teams.
· Sets up and maintains filing system; updating and purging as necessary.
· Assembles data for special projects and conducts a high-level review to ensure accuracy of formulas and consistency of reporting. Identifies initial trends and prepares more data as needed to produce meaningful reports to leadership.
· Oversees and participates in special projects as required.
· Works closely with other service administrators to create efficiencies and promote through internal communication
· Serves as the single point of contact for facilities maintenance, personnel moves, new hires and functional problems for the department.
EDUCATION / EXPERIENCE REQUIREMENTS
· High School Diploma or equivalent is required. Associate’s Degree is preferred.
· Five or more years experience in related administrative positions. Secretarial training in an accredited program preferred.
