MPO Admin
Role Purpose:
When the Operational Purchasing team needs accurate and timely administrative support to keep purchasing activities running smoothly, this MPO Admin will manage essential purchase order, supplier confirmation, shipment, and document-related activities to ensure information is complete, up to date, and properly maintained in the relevant systems.
The role will provide reliable coordination and system support when operational data, documentation, or administrative needs arise, to help the team maintain data accuracy, follow established processes, and respond efficiently to daily supply chain requirements.
Main Responsibilities:
- Manage purchase order confirmations by sending order confirmation and late-delivery reminders to suppliers, entering initial confirmations, and updating revised confirmations accurately in the ERP system;
- Maintain accurate purchasing and shipment information by updating PO shipment status, processing PO price adjustments, and ensuring relevant data is kept current in the ERP system;
- Manage purchasing documentation and records, including archiving PO confirmations in Proxess and uploading relevant documents to the Electronic Data Management (EDM) system in accordance with established procedures;
- Maintain databases and operational reports, performing regular data updates and supporting the preparation of accurate and timely information for the Operational Purchasing team;
- Support shipment readiness and compliance by reviewing pre-shipment documentation and coordinating with relevant stakeholders to identify missing or incorrect information before shipment arrival;
- Coordinate office and team support activities, including office stationery and IT hardware requirements, as well as supporting internal events and other administrative activities;
- Provide flexible operational support by responding to ad hoc administrative and supply chain-related tasks assigned by management, while ensuring accuracy, timeliness, and adherence to established processes;
Role Requirements:
- Professional Certificate, Diploma, College Degree, Bachelor’s Degree, or equivalent qualification, with previous experience in administrative or operational support activities. Experience in manufacturing or supply chain is preferred;
- Good English communication skills are required for coordination with suppliers and internal stakeholders. German or Mandarin language skills are an advantage;
- Basic understanding of purchase orders, supplier coordination, shipment processes, and supply chain operations, with basic experience using ERP systems;
- Good computer literacy and proficiency in Microsoft Office, with strong attention to data accuracy and the ability to maintain databases, reports, and electronic documentation systematically;
- Detail-oriented, organized, reliable, and able to manage routine tasks accurately and within deadlines, with a proactive and service-oriented approach to supporting the Operational Purchasing team;
