NDIS Virtual Assistant
Employment Type: Part-Time to Full-Time
Location: Remote / Work From Home
Hours: Starting with limited part-time hours, with the opportunity to increase hours as the caseload grows
Experience: NDIS / Allied Health experience preferred
About the Role
We are looking for an experienced NDIS-focused Virtual Assistant to support a growing Australian allied-health practice.
The ideal candidate will have hands-on experience working with NDIS participants and allied-health providers, with a strong understanding of NDIS administration, participant communication, documentation, and appointment management.
This role will initially start on a part-time basis, with the potential to increase working hours as the practice and participant caseload grow.
Key Responsibilities
- Assist with NDIS participant onboarding and intake
- Manage and follow up on referrals
- Prepare and manage service agreements and participant documentation
- Schedule and coordinate participant appointments
- Manage Cliniko bookings, participant records, and administrative tasks
- Assist with invoicing and payment follow-ups
- Communicate professionally with:
- NDIS participants
- Support Coordinators
- Plan Managers
- Allied-health professionals and other stakeholders
- Maintain accurate and up-to-date NDIS records and documentation
- Organise and manage confidential participant files
- Assist with compliance requirements and audit preparation
- Follow established privacy, confidentiality, and cybersecurity procedures
- Provide general administrative support to the allied-health practice
Requirements
- Proven experience as an NDIS Virtual Assistant, Allied Health VA, NDIS Administrator, or similar role
- Strong understanding of the Australian NDIS system and processes
- Experience working with Cliniko is highly preferred
- Experience with participant onboarding, referrals, service agreements, scheduling, invoicing, or NDIS administration
- Excellent written and verbal English communication skills
- Strong attention to detail and organisational skills
- Ability to handle sensitive and confidential information professionally
- Understanding of privacy, data protection, and Australian health information requirements
- Reliable internet connection and a suitable work-from-home setup
- Ability to work independently and meet deadlines
- Willingness to start on limited part-time hours, with potential for increased hours as the caseload grows
