Role Overview

We are seeking a highly organized and dependable Virtual Assistant / Executive Assistant to provide remote administrative and executive support to AAM Living leadership. This role will manage calendars, communications, documentation, follow-ups, scheduling, and day-to-day administrative coordination while ensuring priorities are handled accurately and on time.

Key Responsibilities

  • Manage calendars, meetings, appointments, and scheduling across U.S. Central Time (CT).
  • Coordinate emails, communications, meeting agendas, follow-ups, and action items for leadership.
  • Prepare, organize, and maintain documents, reports, spreadsheets, presentations, and business records.
  • Conduct research, gather information, and prepare summaries to support business and operational decisions.
  • Track deadlines, tasks, priorities, and follow-ups to ensure timely completion.
  • Coordinate with internal teams, vendors, candidates, property teams, and external contacts as required.
  • Assist with travel arrangements, meeting logistics, and other administrative requirements.
  • Maintain organized digital files and ensure information is handled accurately and confidentially.

Required Qualifications

  • 2+ years of experience as a Virtual Assistant, Executive Assistant, Administrative Assistant, or in a similar support role.
  • Strong written and verbal communication skills in English.
  • Excellent organizational skills with strong attention to detail.
  • Ability to manage multiple priorities, deadlines, and confidential information independently.
  • Proficiency with Microsoft Office, particularly Outlook, Word, Excel, and Teams.
  • Comfortable working remotely and coordinating with teams operating on U.S. Central Time.
  • Strong follow-through, professionalism, and ability to work with limited supervision.
