Job Summary: Independently perform complex financial administration including budget development, financial analysis, and consultation. Provide recommendations for the use of financial resources. Job-Specific Responsibilities: As a key player in the FAS Office of Finance, the Non-Sponsored Funds Analyst will work closely with the Manager of Non-Sponsored funds to support the financial operations and planning for the Faculty of Arts and Sciences (FAS) non-sponsored funds portfolio. The Non-Sponsored Funds Analyst will help ensure that the FAS’s non-sponsored funding sources – including endowments, current use gifts, construction gifts, loan funds, and unrestricted designated funds – are properly managed, utilized, and aligned with FAS priorities. Support the Manager of Non-Sponsored Funds in the routine review and analysis of non-sponsored fund balances across the FAS - currently a balance of $1.3 billion, across almost 10,000 individual Funds; independently perform day-to-day financial administration of non-sponsored funds, including verifying and monitoring spending and balances in accordance with financial policies and donor terms. Consolidates data from disparate systems and sources to provide accurate reporting related to non-sponsored funds, including but not limited to budget-to-actual reporting and year-over-year trend analyses. Responsible for accounting entries related to non-sponsored funds, such as interest expense/income allocation, balance forward adjustments, and pooled fund entries. Reviews non-sponsored fund balances held across the FAS and works with the Manager of Non-Sponsored Funds to resolve issues, including developing plans for "hard to use”" funds. Performs internal control and regulatory testing related to non-sponsored funds, including release from restriction testing, FASB 117 classifications, and high-risk expense reviews. Reconciles the TBD (To Be Determined) FAS Gift and Endowments funds (defined as philanthropy received but not yet assigned terms) and work with cross-functional organizations to resolve balances. Calculates support allocations to be applied to professorships and other restricted funds. Collects and reviews capitalization and decapitalization requests and recommends appropriate action. Gather and analyze metrics to identify streamlining opportunities in reporting across a variety of financial systems and reports. Primary contact for ad hoc questions from divisions, departments, centers, and affiliate tubs. Assists in identifying training needs and developing educational materials related to non-sponsored fund management. Working Conditions: Work is performed in an office setting; this is a hybrid position requiring 3 days on campus Physical Requirements: Sitting and using near vision for reading and computer work for extended periods of time Basic Qualifications: Bachelor’s degree or equivalent work experience required Minimum of 5 years’ relevant work experience Additional Qualifications and Skills: Experience with MS Office Suite, advanced Excel skills Knowledge of fund accounting Basic understanding of non-profit regulations. Demonstrated experience with financial systems and data query tools; in particular Harvard systems including HART, Oracle Financials, and Advance Ability to handle complex and confidential information with discretion Strong organizational skills and attention to detail Strong oral and written communication skills Effective interpersonal skills and ability to work with cross-functional teams Standard Hours/Schedule: 35 hours per week Visa Sponsorship Information: Harvard University is unable to provide visa sponsorship for this position Pre-Employment Screening: Identity, Education, Criminal, Credit Other Information: All formal offers will be made by FAS Human Resources Work Format Details This position has been determined by school or unit leaders that some of the duties and responsibilities can be effectively performed at a non-Harvard location. The work schedule and location will be set by the department at its discretion and based upon operational needs. When not working at a Harvard or Harvard-designated location, employees in hybrid positions must work in a Harvard registered state in compliance with the University’s Policy on Employment Outside of Massachusetts .
