About the Role

Our US-based healthcare client is seeking an experienced Nursing Scheduler to coordinate nursing schedules and ensure appropriate staffing coverage within a skilled nursing or healthcare facility.

The ideal candidate will have experience working in a nursing or healthcare environment, with a strong understanding of nursing workflows, shift structures, and staffing requirements. Previous hands-on nursing experience is preferred, particularly for candidates who have progressed into nursing administration, staff scheduling, or workforce coordination.

This role involves coordinating nursing shifts, managing staff availability, addressing scheduling conflicts, arranging replacement coverage, and communicating with nursing staff and facility management to ensure that staffing requirements are met.

Candidates with experience working as a nurse in a hospital, skilled nursing facility, rehabilitation facility, or long-term care environment are encouraged to apply. A Registered Nurse (RN) qualification will be an advantage but is not essential.

The successful candidate must be highly organized, detail-oriented, proactive, and comfortable working in a fast-paced healthcare environment where staffing needs can change at short notice.

Key Responsibilities

  • Develop, maintain, and update nursing schedules to ensure adequate staffing coverage across shifts.
  • Coordinate nursing staff assignments based on facility requirements, staff availability, and operational needs.
  • Monitor staffing levels and identify scheduling gaps or potential coverage shortages.
  • Arrange replacement staff to cover absences, sick leave, shift changes, and last-minute staffing requirements.
  • Communicate schedule updates, shift assignments, and changes to nursing staff and relevant management.
  • Liaise with nursing supervisors, facility managers, and other healthcare personnel regarding staffing needs.
  • Track staff availability, leave requests, shift swaps, and scheduling conflicts.
  • Ensure nursing schedules align with facility staffing requirements and applicable policies.
  • Maintain accurate scheduling records, staff rosters, and related administrative documentation.
  • Assist with resolving scheduling issues promptly and professionally.
  • Monitor staffing changes and escalate urgent coverage concerns when necessary.
  • Support effective workforce planning to help maintain continuity of care and smooth facility operations.
  • Use scheduling systems, spreadsheets, or other administrative tools to manage rosters and staffing information.
  • Handle confidential employee and facility information in accordance with established policies and procedures.

Requirements

  • Previous experience in nursing scheduling, healthcare staffing, workforce coordination, or healthcare administration.
  • Experience working in a hospital, skilled nursing facility, rehabilitation facility, long-term care facility, or similar healthcare environment.
  • Hands-on nursing experience is preferred, particularly experience gained in a hospital or facility-based nursing environment.
  • A strong understanding of nursing workflows, shift structures, and healthcare staffing requirements.
  • Experience creating and maintaining staff schedules, rosters, or shift assignments.
  • Familiarity with nursing staff availability, leave management, shift swaps, and arranging replacement coverage.
  • Ability to manage last-minute scheduling changes and find appropriate coverage solutions.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and exceptional attention to detail.
  • Ability to prioritize tasks and manage multiple scheduling requirements simultaneously.
  • Confident communication skills when coordinating with nurses, supervisors, and facility management.
  • Strong problem-solving skills and the ability to work effectively under pressure.
  • Proficiency in Microsoft Excel, Google Sheets, or similar scheduling and administrative tools.
  • Experience using workforce management, staff scheduling, or healthcare scheduling software is advantageous.
  • Ability to work independently in a remote environment while collaborating with a US-based healthcare team.
  • US healthcare experience is not essential. Candidates with relevant South African nursing, healthcare administration, or healthcare staffing experience will be considered.

Advantageous Qualifications and Experience

  • A Registered Nurse (RN) qualification.
  • Previous experience working as a nurse in a hospital, skilled nursing facility, rehabilitation facility, or long-term care environment.
  • Experience transitioning from clinical nursing into nursing administration, scheduling, or workforce coordination.
  • Previous responsibility for coordinating nursing rosters, managing shift coverage, or arranging replacement staff.
  • Familiarity with healthcare workforce management or nursing scheduling software.

Ideal Candidate Profile

The ideal candidate is a highly organized healthcare professional who understands nursing operations and the importance of maintaining appropriate staffing coverage. They are proactive, resourceful, and comfortable managing changing schedules, coordinating staff availability, and resolving coverage gaps.

Candidates with a clinical nursing background and practical scheduling experience will be particularly well suited to this role. However, experienced healthcare schedulers with a strong understanding of nursing environments will also be considered.

The successful candidate will demonstrate excellent communication, sound judgment, attention to detail, and the ability to manage time-sensitive staffing requirements while working remotely with a US-based healthcare team.
