Office Administration Assistant – Training Registrations

Remote | Office Administration | Staff Training Sessions
Full-time or part-time · Salary £56,550–£60,450 annually at 37.5 hours; part-time pro rata

An internal training session has a capacity, an approved attendee list and joining information that needs to reach the right people. This position keeps those administrative pieces together. You would record staff registrations, compare them with the organiser’s instructions, send approved joining details and update the list when a person cancels. You do not decide who must attend, teach the course or change the number of places without the organiser’s direction.

Registration is more than a name on a list

A staff member may register through an online form while their manager emails a different date. Another may be on a waiting list for a session that has already reached capacity. Read the current record before making a new entry. If the instructions say that manager approval is needed, check that approval is recorded or leave the request pending. When the status is clear, tell the person what has been confirmed, rather than sending a joining link as if a place were guaranteed.

During the registration stage you might:

  • Match a staff member to the correct training session and date.
  • Check the approved capacity and whether the place has been confirmed.
  • Record a cancellation without removing the earlier history.
  • Ask the organiser about a missing approval or conflicting request.
  • Send the approved online joining information to confirmed attendees.
  • Flag an inaccessible link before the session rather than after it starts.
  • Keep a waiting list status current under the organiser’s instructions.
  • Note a change to the session time in the right record.

The work continues when the event is close. An organiser may send a revised agenda or ask for a list of people who have not acknowledged their joining details. You can send a factual reminder or update the register as instructed. If a person says the time no longer works, record the message and ask the organiser whether an alternative is available. You should not move the staff member into another session without a confirmed place.

A small change with several effects

Imagine that a session moves by one hour. The invitation, attendee message and online joining instructions may all refer to the old time. Check the approved change and update the items assigned to you so people receive one consistent instruction. If the online link has changed too, do not assume the old one will still work. This is the kind of office administration that prevents avoidable confusion on the day.

This position has an internal customer service element. Staff should be able to ask whether they are registered, where to find the session and what to do if they cannot attend. Your answer should come from the actual registration record. A person on a waiting list is not a confirmed attendee; someone who clicked a link is not automatically recorded as having completed training. Clear distinctions keep the organiser’s reporting dependable.

A fit for someone starting out

Previous learning-and-development experience is an asset, not a requirement. The employer will teach its session types, registration rules and online tools. Strong starting habits include checking names and dates, writing concise messages and using a list without overlooking a late change. You can work remotely from a home office, provided you have reliable access and can handle staff information in the approved systems. You will not be expected to resolve training-content questions; those go to the instructor or organiser.

Before a session closes

  • Check that the current attendee list reflects confirmed changes.
  • Record any joining information sent and a reply requiring follow-up.
  • Leave a clear note about an unfilled place or a pending approval.
  • Send questions about course content to the responsible organiser.
  • Keep separate session dates and attendee histories distinct.
  • Confirm that the final record is available to the authorised team.

The hiring company will confirm the precise schedule and pay terms for its opening. The range above is a full-time annual salary; part-time hours would be paid pro rata. The work is practical and trainable, with a clear result: each attendee and organiser sees the same accurate session information.

Apply for this role

Tell us about a time you had to keep several names and dates organised. It can be a personal, school or volunteer example if this would be your first office job. Explain how you would handle a registration that conflicts with an organiser’s list. You can also mention tools you have used to track changes, though no specific software is required.

Selected candidates may need to complete an application on the hiring company’s website at a later stage. The team will explain that step if it applies to you. The employer will train the successful candidate on its registration procedures.
