Office Administration Coordinator – Group Meeting Scheduling

Office Administration | Group Availability | Remote | Part-time or full-time
Hourly pay £29.25–£31.25

Finding a time for a group meeting is a different job from sending an invitation after the time is chosen. Several people may be available on different days, a meeting owner may have a deadline, and someone may reply after the proposed slot has changed. This role gathers availability and presents an accurate set of options for the person who makes the final choice. You would use online calendars and written messages, without promising a meeting time before it is approved.

Turn scattered replies into a usable choice

The organiser may give you a list of participants, a required meeting length and a time window. You would check those details before contacting anyone. If the group spans time zones, use the convention specified by the employer and make it clear in the message. An answer such as “Tuesday afternoon” may need a more precise time before it can be compared with other replies. Keep the responses in one record so the owner can see who has answered and which options are still possible.

The role calls for careful follow-up. A participant may be unavailable only for the first half of a proposed slot, or may withdraw an earlier answer. Update the comparison rather than leaving the old response in a spreadsheet that looks current. If several options remain, summarise them for the organiser with any obvious conflicts. If no time fits, say so and ask for a revised window. Do not silently exclude someone whose attendance the organiser marked as required.

An example of the work

You are asked to coordinate a half-hour meeting with five participants. Three can attend on Thursday, one has suggested an alternative time, and the fifth has not responded. You would record those facts, send a focused reminder if the process calls for one and present the current options to the owner. You would not send a calendar invitation that implies the fifth person agreed. Once the owner chooses a time, the approved invitation can be sent by you or another colleague, depending on the role’s instructions.

If a participant asks for a different meeting length, you would refer that decision to the organiser. If a calendar appears occupied, check whether it is a visible block rather than assume the person cannot attend. Ask the participant or owner about uncertainty instead of reading private details from a calendar you should not access. Office administration in this setting is about an accurate picture of availability, not taking control of everybody’s schedule.

This is a remote position with a customer service mindset. Participants should receive clear, brief requests and not have to answer the same availability question repeatedly. You may use online polls, email or a shared calendar, depending on the employer’s tools. Keep personal schedule information in the authorised systems and provide only what the organiser needs to make a decision. A home office and dependable connection help you manage replies without confusing one meeting with another.

What you need at the start

Experience coordinating meetings is useful but not essential. The hiring company will explain its calendars, response times and who may approve a change. You need to be comfortable comparing dates and times, asking for clarification and noticing when a new reply changes the options. This introductory role does not require executive-assistant experience or responsibility for the meeting’s content. It can suit someone with experience organising a group activity outside paid work.

The job may be full-time or part-time; the employer will confirm the schedule for its vacancy. Pay is listed above. Your completed work should make the next step straightforward: the organiser knows who is available, where a conflict remains and which proposed times are genuinely supported by the replies.

Your application

Describe how you would keep track of changing replies from a group of people, using an example from a class, community activity or previous job. Make clear how you would avoid treating a proposed time as confirmed. Training in the employer’s scheduling tools will be available, so prior executive-assistant experience is unnecessary. A candidate invited onward may need to complete an application using the hiring company’s website.
