Office Administration Travel Itinerary Assistant
Office Administration | Approved Travel Details | Remote
£28.75–£31.00 per hour · Full-time or part-time
Business travel creates a collection of details that must agree: the approved dates, a reservation reference, a meeting address and the person who needs the information. This role assembles those details into a clear itinerary after the responsible team has approved the arrangements. You would check confirmations, identify gaps and send the current information to the traveller through the approved channel. You would not choose a flight, approve spending or change a booking on your own.
From confirmations to a usable plan
An itinerary may draw from several messages. One contains a hotel reference, another a meeting location and a third an updated arrival time. Compare them against the authorised schedule rather than copying every note into a document without checking which version is current. A traveller should be able to see the sequence of booked arrangements and who to contact if something changes. If two confirmations disagree, ask the travel owner before distributing a plan that contains both possibilities.
You might receive an online booking confirmation that lists a name differently from the internal request. Check the permitted identifiers and flag a discrepancy. A misspelled name on a reservation is not something to quietly fix in an itinerary; the booking owner may need to address it with the provider. Likewise, a meeting address can be different from a hotel’s address. Label each clearly so the traveller does not go to the wrong place.
What you would handle
- Gather approved booking references and dates from assigned records.
- Check that each confirmation belongs to the correct traveller.
- Put the details in a sensible order using the employer’s format.
- Compare a revised message with the earlier itinerary before updating it.
- Flag a missing reference, time or address for the booking owner.
- Send the current approved version through the designated channel.
- Record when the traveller received an update or raised a question.
- Keep superseded information from being presented as a live plan.
If the traveller asks to leave a day earlier, record the request and route it for approval. Do not change the itinerary to make the desired trip appear booked. If an approved change arrives, update the correct sections and clearly identify what changed. An old attachment should not be the only version a traveller can find in the shared record. Keeping the history readable is ordinary office administration with a real effect on someone’s day.
Who will enjoy this work
You will use email, online booking records and an internal document system from a home office. The employer will train you in its travel process and confidentiality rules. Experience with travel bookings can help, but it is not required. You should be comfortable checking names, dates and time zones and writing a short explanation when a detail is still pending. Customer service skills matter because the traveller may be anxious about a change, but you should avoid promising a new reservation until it is confirmed.
The position may be part-time or full-time, depending on the client opening. The hourly pay range appears above. The role supports approved business travel; it is not a travel-agent sales job. A finished itinerary gives the traveller the information they can rely on and leaves uncertain items with the colleague authorised to resolve them.
Time zones and local dates deserve a separate check. A flight arriving after midnight may appear on a different calendar day from the preceding meeting, and a video meeting during the trip may still be listed in the home office’s time zone. Use the convention stated by the travel owner and label it where ambiguity could cause a missed connection. If a confirmation contains an unexplained time, ask the booking colleague before translating it yourself. The itinerary should help a traveller make decisions on the day, so a visually neat document with the wrong time is not finished work.
Apply
Describe how you would combine several confirmations when one contains an outdated time. You can use an example from organising a personal trip or event if this would be your first office job. We welcome applicants willing to learn the employer’s process. Selected candidates may be asked to complete an application on the hiring company’s website. Training will cover the travel records and approved handoffs.
