Key Responsibilities
  • Manage daily office operations and ensure the office runs smoothly and efficiently.
  • Manage office facilities, supplies, equipment, meeting rooms, pantry, access, maintenance, and other administrative needs.
  • Coordinate and manage external vendors, including building management, cleaning, maintenance, contractors, and other service providers.
  • Act as the project coordinator/manager for office renovation, fit-out, relocation, and managing timelines, vendors, budgets, and execution.
  • Support employees with day-to-day workplace needs and help create a welcoming and productive office environment.
  • Support office events, employee activities, visitors, meetings, and onboarding logistics.
  • Partner with HR, IT, Finance, and other teams on office-related matters.
  • Proactively identify and resolve operational issues and continuously improve the employee workplace experience.
  • Take on other administrative or operational responsibilities as needed.

Qualifications
  • 5+ years of experience in office management, administration, facilities, workplace operations, or a related role.
  • Experience coordinating office renovation, relocation, or facilities projects is preferred.
  • Highly flexible and adaptable, with a willingness to handle both planned projects and unexpected day-to-day needs.
  • Detail-oriented and well organized, with strong follow-through.
  • Helpful and service-minded, with a genuine interest in supporting employees and creating a good workplace experience.
  • Strong communication and coordination skills, with the ability to work effectively with employees, vendors, and different internal teams.
  • Hands-on, resourceful, and able to solve problems independently.
  • Comfortable working in a fast-paced and growing environment.
