Office Coordinator

**Remote | Full-Time**

## About the Role

We’re looking for a highly organized, detail-oriented, and service-minded **Office Coordinator** to support both the **People Operations and Office Management teams**.

This role is ideal for someone who thrives in a fast-paced environment, enjoys wearing multiple hats, and takes pride in keeping people, processes, and systems running smoothly.

You’ll support a wide range of business functions, including **office operations, recruiting coordination, employee experience, executive administration, and day-to-day administrative needs**.

The ideal candidate is proactive, resourceful, highly organized, and comfortable working with senior leadership while handling sensitive and confidential information with discretion.

## What You'll Do

### Office Management Support

* Partner with the Receptionist on department purchasing, expense tracking, and administrative needs
* Manage access and permissions for company platforms, including routine audits and renewal oversight
* Assist with employee engagement initiatives, including planning, coordination, and communication
* Support company legal and administrative processes
* Organize and maintain contracts, agreements, and related documentation
* Assist with additional office operations and administrative projects as needed

### Recruiting & People Operations Support

* Partner with People Operations and Hiring Managers to understand hiring needs and identify ideal candidate profiles
* Serve as the first reviewer for applications for assigned open roles
* Act as the primary point of contact for candidates throughout the recruiting process
* Coordinate interviews and manage scheduling logistics from the initial phone screen through the offer stage
* Maintain clear, timely, and professional communication with candidates
* Support employee onboarding and offboarding processes
* Assist with People Operations projects and initiatives as needed

### Executive Administrative Support

* Own and manage complex, high-volume calendars for the President and CEO
* Coordinate meetings, scheduling, priorities, and logistics across multiple stakeholders
* Help ensure executives are prepared and organized for meetings and commitments
* Handle sensitive and confidential information with professionalism and discretion
* Provide general administrative support to senior leadership as needed

## Requirements

* **1–3 years of experience** in a receptionist, administrative, office coordination, or similar role
* Bachelor’s degree preferred
* Demonstrated ability to manage scheduling, logistics, and multiple workflows simultaneously
* Strong organizational and time-management skills
* Excellent written and verbal communication skills
* Comfortable handling confidential and sensitive information
* Proficiency with both **Mac and PC** environments
* Experience with **Google Workspace/Google Suite and Microsoft Office**
* Ability to work independently, prioritize competing responsibilities, and take initiative
