Our Office Coordinators are an essential part of our clinical teams and often the first point of contact for our patients. In this role, you’ll help keep busy clinical practices running smoothly while supporting physicians, nurses, advanced practice providers, and patients throughout the day. Role Overview: Answer assigned phone lines promptly and professionally, directing calls appropriately and prioritizing effectively Manage communication channels for the clinical team, ensuring messages are prioritized, routed appropriately, and addressed in a timely manner. Coordinate appointments, tests, consultations, treatments, and surgeries based on clinical priority, providing clear instructions to patients Prepare various documents, including memos, correspondence, reports, and presentations, adhering to mandated formats and readability standards Handle authorizations and reimbursements for physician travel and meetings, maintaining licensures and memberships for attending physicians Key Qualifications: Experience working directly with customers or patients in healthcare, hospitality, retail, or other service-focused environments Good verbal and written communication skills Good organizational skills and attention to detail Ability to prioritize and manage multiple responsibilities in a fast-paced environment Ability to work effectively and inclusively as part of a multidisciplinary team Experience working in EPIC is a plus Core Skills: Prioritization: Able to assess competing demands and figure out what needs attention first Follow-through: Takes ownership of tasks and ensures commitments are completed within appropriate timeframes Composure: Remains calm, professional, and compassionate when handling competing priorities and sensitive situations.
