Office Manager / PA - Maternity Cover We usually respond within a week Department: Corporate Services Reports to: CEO Salary: up to £37.5K DOE Location: Manchester / Hybrid (3 days office based) This is a 12 month fixed term contract, to start in December 2026. The Opportunity This is a pivotal role at the heart of the business, providing high-level support to the CEO and Senior Leadership Team while helping to keep everything running smoothly behind the scenes. You'll play a key role in coordinating Board and governance activities, managing relationships with stakeholders across the organisation, and ensuring our Manchester and Reading offices are welcoming, safe and productive environments. As a trusted point of contact, you'll bring people, processes and communications together, helping to drive efficiency, collaboration and a positive colleague experience across the business. Key Responsibilities Manage the day-to-day operation of the Manchester and Reading offices, ensuring a safe, professional and productive working environment. Lead office facilities management and act as the primary point of contact for workplace matters, including heating, air conditioning, cleaning, security, office maintenance and landlord queries, liaising with building management, contractors and service providers to maintain a safe, compliant and productive working environment. Coordinate employee engagement, wellbeing initiatives and company events, including social activities and internal campaigns. Provide administrative and coordination support across multiple business functions, acting as a central point of contact for a wide range of operational, governance and corporate activities. Act as a key liaison between the CEO, Board members, colleagues and external stakeholders. Coordinate company-wide meetings, All Hands events and leadership communications, including agendas, presentations and follow-up actions. Arrange business travel, accommodation and associated logistics across the organisation. Manage administrative and financial processes across the business, including raising and receipting purchase orders for multiple departments, processing invoices, supporting expenses administration, managing company credit card records and maintaining document control. Support the management of contracts, company records and document storage, including coordinating the collection of signatures for contracts and agreements and acting as the central point of contact for document circulation and execution. Support internal communications and recognition initiatives across the business. Collaborate with the Senior Marketing & Communications Manager to support executive and corporate LinkedIn activity, ensuring content aligns with brand messaging, organisational objectives and communication standards. Create and edit content using tools such as Canva where required. Assist with continuous improvement of administrative processes, systems and Microsoft 365 tools to enhance efficiency and consistency. Provide proactive PA support to the CEO and Senior Leadership Team, including diary management, meeting coordination and prioritisation of competing demands. Coordinate Board and leadership activities, including annual schedules, agendas, Board packs, minute taking, action tracking, governance records and meeting logistics and follow-up of actions with stakeholders. Success Measures The CEO and Senior Leadership Team receive timely, accurate and proactive support. Board papers, minutes and action trackers are delivered accurately and within agreed deadlines. The offices operate efficiently, with minimal disruption and a positive colleague experience. Supplier, contract and facilities issues are managed effectively and resolved promptly. Employee engagement, wellbeing initiatives and company events are successfully coordinated and well attended. Documentation, records and governance processes are maintained to a high standard. Internal communications are clear, professional and aligned with business objectives. Administrative processes are regularly reviewed and improved to increase efficiency. Person Specification Significant experience in a PA, Executive Assistant, Office Manager or similar senior administrative role. Excellent organisational skills, with the ability to manage multiple priorities and deadlines. Strong stakeholder management skills and confidence working with senior leaders and Board members. Excellent written and verbal communication skills. High levels of accuracy and attention to detail. Ability to handle confidential and commercially sensitive information with discretion. Advanced Microsoft 365 skills, including Outlook, Word, Excel, PowerPoint, Teams and SharePoint. Experience of financial administration, including purchase orders, expenses, invoices and budget tracking. Experience coordinating meetings, events, suppliers and facilities.
