Job Overview
The Talent Management Coordinator provides operational and administrative support to the Talent Manager and Head of Talent Management for Vector. This role is responsible for coordinating Talent Management processes, maintaining accurate data across multiple systems, supporting specialists and leaders with day-to-day requests, and ensuring talent programs are delivered efficiently and accurately. This role provides broad exposure across Talent Management and Human Capital while building the operational excellence, business knowledge, and foundational capabilities required for progression into Talent Management and HC Business Partner roles.
This position is ideal for someone with foundational Huan Capital or Human Resources experience who is looking to deepen their expertise in Talent Management. The successful candidate is highly organized, detail-oriented, responsive, and customer-focused, while demonstrating curiosity, a strong learning mindset, and a desire to take on increasing ownership over time.
Key Responsibilities
The Talent Management Coordinator owns key operational Talent Management activities while partnering closely with the Talent Manager and Head of Talent Management to deliver consistent, high-quality talent operations, including performance management, specialist programs, staffing system updates, reporting, training coordination, and ad hoc Talent Management requests across Vector and Oliver Wyman. Through reliable execution, accurate data management, and strong stakeholder support, the role helps create the capacity for broader Talent Management and HC Business Partner activities.
While the primary focus of the role is supporting the Vector business, additional support for broader Talent Management initiatives may be required.
Talent Management Support
- Provide day-to-day operational and administrative support to the Talent Manager and Head of Talent Management.
- Serve as a point of contact for specialists, responding to questions related to Talent Management processes, timelines, systems, and policies.
- Coordinate Talent Management activities and help ensure key deadlines and milestones are met.
- Support specialist Talent Management programs and other annual talent initiatives.
- Assist in developing, maintaining, and updating Talent Management process documentation, training guides, and communication materials.
- Support ad hoc Talent Management projects and requests as business needs arise.
Performance Management
- Execute performance management tasks based on inbound requests from Talent Managers, leaders, and specialists.
- Maintain and update performance management systems to ensure data accuracy and completeness.
- Trigger project and performance reviews within the project management system and monitor completion.
- Track review progress and follow up with leaders and specialists to ensure timely completion.
- Provide clear and concise guidance to Talent Managers, leaders, advisors, and review writers on Talent Management processes and system navigation.
- Assist with preparing reports, presentations, and materials for calibration sessions, talent review meetings, and other Talent Management discussions.
- Coordinate meeting logistics and track follow-up actions from calibration and review meetings.
Learning & Development
- Partner with leaders to assign and track learning and development plans for specialists.
- Monitor training completion and provide updates and reporting as requested.
- Support the coordination and administration of learning and development initiatives.
Systems, Reporting & Data Management
- Maintain accurate employee and talent data across multiple systems, ensuring the integrity of information used for reporting, talent processes, and data-informed decision making. Systems include FRODOW, Fusion, ADVANCE, OW Balance and other Talent Management platforms.
- Complete staffing system updates and ensure data integrity across systems.
- Produce recurring and ad hoc reports that enable Talent Managers and business leaders to make informed talent decisions.
- Support the Head of Talent Management and Talent Managers with reporting, analytics, and data requests.
- Prepare spreadsheets, dashboards, reports, and presentations using Excel and PowerPoint.
- Identify data discrepancies and work with the appropriate stakeholders to resolve issues and maintain accurate records.
Preferred Experience
- Bachelor's degree or equivalent experience.
- 1–3 years of experience in Human Resources, Human Capital, Talent Management, Recruiting, HR Operations, or a related coordination or administrative role.
- Demonstrated interest in building a career in Talent Management or Human Capital.
- Experience supporting HR processes, employee lifecycle activities, recruiting, performance management, learning and development, or related programs is preferred.
Technical Skills
- Strong working knowledge of Microsoft Excel, including formulas, pivot tables, and manipulating data for reporting and analysis.
- Proficiency in Microsoft Word and PowerPoint.
- Basic understanding of HR and business systems, with the ability to quickly learn new technologies and systems of moderate complexity.
- Experience working with, or the ability to quickly learn performance management platforms, and project management tools.
