The Onsite Travel Specialist serves as a key member of the Onsite Operations Team. The Onsite Travel Specialist is responsible for all booking and tracking of department travel arrangements, including managing the Onsite Travel budget, booking flights, hotels, car rentals and more.

Duties and responsibilities

  • Reviews and books all travel requests for the department population including flights, hotels, and rental cars
  • Facilitates distribution of per diem cards to employees on travel assignments
  • Trains Onsite Leaders on Company reimbursement software processes and deadlines
  • Represents department for any questions regarding travel, reimbursement, and Company travel-related software
  • Maintain a partnership with Onsite Supervisor to manage travel extensions or time-sensitive situations as needed
  • Responsible for supporting all department travel, including weekend and after hour travel support to meet department goals and project deadlines.
  • Ability to handle pay-related tasks such as payment issues and submission of Travel Incentive uploads to Payroll
  • Maintains accurate record keeping and data management, tracking all travel arrangements via Excel Spreadsheets
  • Adhere to the Company’s Code of Conduct and policies and maintain HIPAA compliance
  • Assist with additional work duties or responsibilities as evident or required

Qualifications

  • High School Diploma or equivalent required
  • Experience working with Concur system preferred
  • 2 years' experience booking domestic travel preferred
  • Experience in a healthcare environment preferred
  • Demonstrate accuracy and attention to detail
  • Strong verbal and written communication skills in English
  • Must be detail oriented and possess good organization skills
  • Able to interpret and communicate information accurately
  • Reliable and dependable work ethic and attendance
  • Possess good judgement, patience, and diplomacy
  • Intermediate computer skills including Windows based applications (Word, PowerPoint, Excel, and Outlook) and the ability to perform other basic computer functions and trouble shooting
  • Ability to work in a fast-paced, results-based environment

Working conditions

Over 90% of the time is spent indoors, with protection from weather conditions.

Physical requirements

Must have the ability to stand and sit frequently throughout an eight-hour period, reach horizontally and vertically for overhead use. Must be able to use a telephone or headset equipment. Incumbent must be able to lift 20 lbs., perform work at a computer terminal for 6-8 hours a day, and function in an environment with constant interruptions. The estimated total cash compensation range for this role is:
$62,000—$72,000 USD
