Your Role
As a
Operations Administrator, you will provide administrative support to the production and operations teams by ensuring production jobs are accurately documented, monitored, and prepared for execution. You will coordinate with customers and internal stakeholders to gather required information, maintain production records, and help streamline production processes to ensure timely and efficient delivery.
Specifically, You Will
- Enter new customer jobs into the production management system accurately and on time.
- Create and issue production job cards, ensuring all required documentation is complete before production begins.
- Maintain accurate production records, job documentation, drawings, photographs, specifications, and production notes.
- Contact customers to obtain missing drawings, purchase orders, specifications, photographs, or other required documentation.
- Coordinate with internal teams to obtain missing pricing, quotations, and job-related information.
- Verify colours, quantities, coating specifications, and delivery requirements to ensure production readiness.
- Monitor production job progress and proactively follow up on delayed or incomplete jobs.
- Escalate production issues that may impact customer delivery schedules.
- Record meeting minutes, track action items, and support production planning activities.
- Maintain and update the Powder Summary, including recording new powder colours, monitoring stock usage, and recommending replenishment requirements.
- Assist with monthly powder inventory reviews and support inventory administration activities.
- Maintain organized production files and documentation to support efficient factory operations.
- Identify opportunities to improve production administration processes, documentation, and workflow efficiency.
- Support Workplace Health and Safety (WHS), quality management, and continuous improvement initiatives by following company policies and promoting safe work practices.
- Provide general administrative support to management and assist other administrative team members during peak workloads.
What You Need
Non-negotiables
- Previous experience in an Administration, Production Administration, Operations Administration, or Manufacturing Administration role.
- Strong administrative, organizational, and document management skills.
- Intermediate proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
- Excellent written and verbal English communication skills.
- Strong attention to detail with the ability to identify missing or inaccurate information.
- Ability to manage multiple priorities while meeting deadlines in a fast-paced environment.
- Strong time management, problem-solving, and organizational skills.
- Professional customer service skills with confidence communicating with customers and internal stakeholders.
- Ability to work independently while collaborating effectively within a team.
Preferred Skills/expertise
- Experience within a manufacturing, production, engineering, or industrial environment.
- Experience using production management, ERP, job management, or business management systems.
- Familiarity with Xero or similar business software.
- Experience supporting production scheduling, inventory administration, or materials management.
- Knowledge of Workplace Health and Safety (WHS) and quality management systems.
- Continuous improvement mindset with the ability to identify opportunities to streamline production administration processes.
- Reliable, proactive, and able to take ownership of tasks through to completion.
