Who we want:
The Operations & Compliance Coordinator, Pre-K Partnerships is responsible for establishing and implementing processes to organize and maintain program files and developing and maintaining compliance-related systems per TEA, partner school districts, childcare providers, and other contractual requirements. You will train and support other program staff in implementing processes and maintaining required documentation. This position coordinates center and staff onboarding, LPAC compliance processes, attendance reporting, invoicing, records management, and operational systems that support the successful implementation of Pre-K Partnership programs.

- Tech savvy and adaptable: You quickly learn and navigate multiple data systems, online platforms, and software applications. You are comfortable using spreadsheets, databases, student information systems, document management tools, and virtual collaboration platforms.

What you’ll do:
- Coordinate onboarding for new partner centers, ensuring required documentation, approvals, and compliance requirements are completed.
- Serve as a primary point of contact for partner centers, school districts, and community stakeholders, providing responsive operational support.
- Manage LPAC and multilingual learner identification processes in partnership with participating school districts.
- Coordinate preLAS assessments, training requirements, scheduling, parent communications, and assessment documentation.
- Maintain compliance systems, records, and documentation to ensure adherence to district, state, and program requirements.
- Oversee monthly attendance collection, verification, reconciliation, and reporting across participating partner sites.
- Work closely with district registrars and staff to ensure attendance data is accurately entered and maintained.
- Maintain attendance tracking tools, operational dashboards, and reports that support program performance and accountability.
- Coordinate attendance-based invoicing and verify calculations, supporting documentation, and approvals.
- Process program-related invoices, purchasing documentation, and other operational financial records.
- Develop and maintain process documentation, templates, guides, and operational resources that promote consistency and efficiency.
- Organize and manage enrollment, attendance, compliance, assessment, financial, and operational records to ensure audit readiness.
- Coordinate onboarding and credentialing for ELAC staff, including district approvals, background checks, and system access.
- Manage assessment-related technology, certifications, and access requirements, including DRC Insight and preLAS systems.
- Support cross-functional projects, meetings, events, and continuous improvement efforts that strengthen Pre-K Partnership operations.
What you’ll bring:
- Proficiency with Microsoft Office Suite and Google Workspace, including Sheets, Docs, Forms, Drive, Calendar, and Gmail is required.
- Associate’s degree or equivalent combination of education and relevant experience.
- Two or more years of experience in program operations, administrative coordination, education administration, compliance support, records management, or a related field.
- Experience maintaining confidential student, employee, and organizational records.
- Strong written and verbal communication skills.
- Strong organizational skills with the ability to manage multiple priorities, deadlines, and complex processes.
- Reliable transportation, and ability to travel locally as needed.
- Ability to work independently while exercising sound judgment and attention to detail.
