The role GreenieRE is hiring an Operations Coordinator to support and keep our leadership team organized and running smoothly. Reporting directly to the Chief Operating Officer, you will own event logistics, brand consistency, program coordination, and calendar management. As you learn the business you will be responsible for managing the company pipeline, product development work streams, and attending events on behalf of the company. You'll be the person who turns leadership direction into action. This is a great role for someone with strong administrative capabilities, experience in operations, and who wants exposure to marketing. The ideal candidate has prior experience in the insurance industry and wants to build on that into a broader operating role at a small, fast-moving company. What You'll Do Product & Program Coordination Track and maintain status of products in development and on the horizon, keeping a single up-to-date view leadership can reference. Stay current on what staff and executives are each working on per product, and flag where coordination or a hand-off is needed between them. Executive Support & Operations Manage calendars for lead executives Keep project management tools up to date and follow up with team members to confirm tasks are on track. Help maintain hygiene in shared systems like our CRM pipeline Schedule quarterly company offsites, propose draft agendas based on team input, and handle logistics Draft the first pass of important presentations like the annual report and board meeting decks. Coordinate with staff to fill in content. Marketing Coordination Identify, order, and coordinate client gifting (logo items, gift baskets) for key accounts. Build and maintain our presentation library so the team always has up-to-date, on-brand decks, fonts, colors, and logo usage. Coordinate brand identity items (website, business cards, email signatures) and post approved website messaging updates. Support PR and events, help maintain the events calendar, schedule social media posts, and coordinate with our outside communications consultant on blog content and amplification. Execute event logistics, member elections, and membership tracking for the membership program for policyholders and community members HR Support Coordinate the logistics of hiring: scheduling interviews, communicating with recruiters, and keeping candidates informed. Flag process improvements. Help build and refine interview guides using templates and criteria set by leadership. Coordinate new-hire onboarding: setting up system access, coordinating logistics, and managing onboarding questions. What We're Looking For 3-5 years of experience in insurance, operations, administrative support, or a related field (internships count). Experience or familiarity with the insurance industry strongly preferred; ideally 1–2+ years working at an insurer, broker, MGA, or insurtech in any capacity. You don't need underwriting expertise, but you should be comfortable with industry terminology and how the business works. Strong organizational skills and follow-through Clear, professional writing and communication skills. Comfortable asking questions and checking in with leadership before making judgment calls on ambiguous or sensitive items Eager to learn; excited to grow into more ownership over operations as you build a track record. Familiarity with tools like Asana, HubSpot, or similar is a plus, but not required. Growth Path GreenieRE is a small, all-hands-on-deck organization. In your first few months, we'll focus on onboarding/HR coordination, product tracking, and offsite logistics, with marketing tasks layered in as you settle into the operations side. We expect the scope to keep expanding as you demonstrate good judgment on the smaller items, we'll hand you more ownership, including a bigger hand in shaping organizational structure. Regular check-ins with your manager will focus on what you're ready to take on next. Compensation commensurate with experience.
