About the Role

We are looking for an experienced Operations CSR & Shipping Document Coordinator to manage customer orders and international shipments from order entry through final delivery.

This is a hands-on operations role combining customer service, order management, international logistics, shipping documentation, and freight coordination.

You will create sales orders and contracts, coordinate pickups and deliveries, manage carrier bookings and vessel schedules, prepare export documentation, track shipments, and proactively resolve delays or documentation issues.

The ideal candidate has practical experience in international trade or logistics, understands ocean export processes and documentation, and communicates confidently in English with customers, carriers, warehouses, and internal commercial teams.

What You'll Do

Order & Customer Operations

  • Manage customer orders from receipt through delivery, ensuring accurate and timely processing.
  • Create and maintain Sales Orders and Sales Contracts.
  • Coordinate pickup and delivery schedules with customers, carriers, warehouses, and internal teams.
  • Maintain order summaries and provide visibility to the commercial team.
  • Onboard new customers and ensure required information is accurately maintained.
  • Advise customers on shipping details and documentation requirements.

International Shipping & Logistics

  • Coordinate outbound international freight shipments.
  • Manage carrier bookings, cut-offs, and vessel schedules with freight forwarders and ocean carriers/NVOCCs.
  • Track vessel shipments and railcar movements, including timely return of empty railcars.
  • Monitor warehouse activity to help prevent late ingates and container rolls.

Export Documentation

  • Prepare complete documentation for international shipments, including:
    • Bills of Lading (BOL)
    • Certificates of Analysis (COA)
    • Commercial Invoices (CI)
    • Packing Lists (PL)
  • Prepare export declarations and Bills of Lading for ocean exports.
  • Review and interpret Letters of Credit when required.
  • Coordinate shipment documentation and courier packages with customers and logistics partners.
  • Ensure shipping documents are complete, accurate, and delivered on time.

Issue Resolution & Claims

  • Work with management to resolve shipping and documentation issues.
  • Proactively identify risks affecting product movement.
  • Manage and follow up on product delivery claims.

Qualifications

Required Qualifications

  • 3+ years of relevant professional experience preferred, with candidates generally expected to bring approximately 2–5 years in international trade, logistics, shipping operations, or a related field.
  • Strong knowledge of international shipping and export documentation processes.
  • Experience working with ocean carriers, freight forwarders, and/or NVOCCs.
  • Experience preparing or managing international shipping documentation.
  • Understanding of Bills of Lading, Commercial Invoices, Packing Lists, and related export documents.
  • Microsoft Excel proficiency required.
  • Strong professional English communication skills for working with customers, truckers, warehouses, carriers, and internal commercial teams.
  • Strong attention to detail and ability to manage multiple orders, priorities, and deadlines.
  • Strong problem-solving, organization, and time-management skills.
  • Ability to work independently in a fast-paced remote environment.

Preferred Qualifications

  • Experience in the plastic resin, polymer, chemicals, or related manufacturing industry.
  • Experience interpreting Letters of Credit.
