JOB DETAILS Job Title: Operations Project Manager Location: Remote Reports To: Founder Work Shift: Flexible, with overlap during US business hours preferred Working Hours: Full-Time Job Description We are seeking a highly organized Operations Project Manager to oversee the execution of day-to-day business operations across multiple departments for a growing media, education, and live events business. This role is responsible for translating the founder's weekly priorities into actionable work plans, coordinating tasks across an offshore support team, monitoring project progress, ensuring deadlines are met, and maintaining accountability across multiple business functions. The ideal candidate combines strong project management skills with operational leadership. Rather than completing every task themselves, they coordinate specialists across marketing, ecommerce, administration, finance, customer support, creative production, and tour operations while serving as the founder's primary operational point of contact. Success in this role requires exceptional organization, proactive communication, strong judgment, and the ability to build scalable systems that reduce the founder's involvement in day-to-day execution. This is not a traditional Executive Assistant role. The primary objective is building and managing an offshore operational engine that executes consistently with minimal founder oversight. Key Responsibilities Project & Task Management Translate weekly priorities into structured project plans and task assignments Manage project timelines, dependencies, and deadlines across multiple business functions Monitor project progress and ensure deliverables remain on schedule Identify blockers, risks, and operational issues before they impact execution Maintain project documentation and operational dashboards Team Coordination Coordinate work across offshore specialists supporting marketing, ecommerce, finance, customer support, administration, and creative production Assign tasks based on workload and priorities Review completed work for quality before escalating to leadership Conduct regular progress check-ins with team members Ensure accountability across ongoing projects Operational Systems Build and improve SOPs, workflows, and operational documentation Continuously improve business systems and operational efficiency Maintain project management software and team documentation Recommend automation opportunities using AI and modern operational tools Executive Operations Support Serve as the founder's primary operational point of contact Prepare operational summaries and weekly progress reports Coordinate recurring business initiatives and strategic projects Support implementation of new business processes and systems Cross-Functional Leadership Coordinate communication between departments Ensure priorities remain aligned across the organization Support planning for product launches, marketing initiatives, live events, and operational projects Maintain visibility across all active initiatives Qualifications Required 5+ years of experience in project management, operations management, business operations, or similar leadership roles Experience coordinating cross-functional teams across multiple business functions Experience managing projects using ClickUp, Asana, Monday.com, Notion, or similar project management software Experience building and improving operational systems and SOPs Strong organizational and prioritization skills Excellent written and verbal English communication skills Experience managing multiple simultaneous projects Experience managing remote or offshore teams Experience leveraging AI and modern productivity tools to improve operational efficiency. Strong leadership and stakeholder management abilities Strong problem-solving and decision-making skills Experience working independently in fast-paced founder-led businesses High attention to detail with strong operational ownership Preferred PMP or equivalent project management certification Experience supporting ecommerce, media, education, or live event businesses Experience with business process automation tools
