We're a fully remote organization with ~15 teammates, including Lawyers, Paralegals, Legal Practice Managers, Sales leaders, and Support staff. About the RoleWe're looking for a remote, part-time Legal Quality Assurance Specialist to independently review litigation cases and ensure they're accurate, complete, progressing on time, properly documented, and compliant with our SOPs.
In this role, you'll conduct regular and spot audits of active litigation files — demand letters, client documents, court filings, responses to landlord notices, attorney letters, motions. Documents get your review and approval at two checkpoints: from legal assistants and paralegals to attorneys, and from attorneys to clients, so everything aligns with client expectations before it goes out. You'll also review case deadlines, verify proper use of case management systems, and audit case transfers and handoffs. You're not client-facing, but you're copied on outbound emails to stay aware of client timelines and new information.
This role exists because our Principal Attorney — who's also our CEO — doesn't have capacity for this level of document-by-document oversight. Our Legal Integrator has already put an error-tracking system in place, and you'll be the one driving it day to day. You'll hold the team accountable for quality, flagging and tracking errors as the intermediary between the Licensed Attorneys and the Legal team.
Our IDEAL CANDIDATE brings 3–5 years of experience in a role like Legal QA Specialist, Litigation Support Analyst, Legal Writer, Legal Editor, Paralegal, Legal Assistant, or Legal Researcher — or equivalent experience in legal operations, quality assurance, or case management — ideally at a smaller firm or fast-paced litigation practice. You're fast-paced and detail-oriented, confident enough to spot problems objectively. You understand that most errors trace back to strategy decisions, not to the people executing them, so you can flag issues without assigning blame. You exhaust available resources before asking for help, and when you spot a defect, you dig into the root cause and build a system-level fix — like a checklist — so it doesn't happen again. You're comfortable escalating when something matters, without hesitation or overstepping. You're the kind of person who brings peace of mind to everyone in the company: attorneys trust the work coming through, the team feels supported, and everyone can focus on doing their job well.
Performance Metrics: Your performance will be measured by a reduction in the number of errors from the current baseline, client satisfaction, and timeliness and reliability.
Reporting Structure: You'll be on the Legal team, working closely with the Team Lead, Attorneys, Legal Integrator, CEO, Engagement team, and Legal Operations team. This position reports directly to the Team Lead.
You'll be doing things like:
- Case File Auditing: conducting regular and spot audits of demand letters, client documents, court filings, responses to landlord notices, attorney letters, motions; reviewing ~15–30 documents daily depending on caseload; spotting errors, omissions, delays, deviations from SOPs
- Deadline & SOP Compliance Tracking: reviewing case deadlines, tasks, and documentation for SOP compliance, including court filing requirements like scheduled hearings
- Case Management Systems Hygiene: verifying proper use and maintenance of Clio and other case-management systems, such as NotebookLM
- Client Communication Oversight: staying aware of client timelines and new information; ensuring required approvals happen before documents go to opposing counsel
- Case Transfers & Handoffs: auditing case reassignments when clients express dissatisfaction or when team members resign; making sure information and documentation are complete
- Quality Assurance & Process Improvement: maintaining QA logs, deficiency trackers, and periodic quality/compliance reports; and recommending process and SOP fixes, following up to confirm they worked, and escalating recurring issues to the Team Lead or Legal Integrator
- 3–5 years of experience in a role like Legal QA Specialist, Litigation Support Analyst, Legal Writer, Legal Editor, Paralegal, Legal Assistant, or Legal Researcher — or equivalent experience in legal operations, quality assurance, or case management — ideally at a smaller firm or fast-paced litigation practice
- Legal background so you understand case documents, what should and shouldn't be included in demand letters, court filings, motions, and tenant law workflows
- Strong knowledge of case management and document management systems
- Proficiency with spreadsheets for tracking, auditing, and reporting
- Adept with AI and digital productivity tools
- Exceptional attention to detail and ability to spot inconsistencies, omissions, and errors in legal documents under tight timelines
- Strong analytical and problem-solving skills, with the ability to identify patterns and root causes
- Ability to translate audit findings into practical process improvements
- Ability to work independently and maintain objective QA records
- Strong written and verbal communication skills
- Strong understanding of confidentiality, data security, and appropriate handling of client information
- Fast-paced thinking and ownership mindset — taking responsibility for spotting issues and improving systems without being defensive
Bonus if you also have:
- Real estate or tenant law background specifically
- Experience with workflow automation, dashboards, or QA reporting
- Experience working with American law firms
- Typing speed of 60+ WPM

Technical requirements:
- Latest Windows or Mac with sufficient processing power for document management
- Reliable internet speed, minimum 50 Mbps up/down
- Sufficient hard drive space for case management storage
Working Hours: Fixed, 12PM–4PM ET (Eastern Time). Adjusts with Daylight Saving Time.
Employment Type: Part-time (20 hours/week). Candidates may hold other work alongside this role, provided total other commitments don't exceed 40 hours/week and hours don't overlap.
Education: No formal degree required, though a legal degree or paralegal certification is preferred.
Level: Intermediate (3–5 years of relevant work experience)
Compensation: ~USD $330–$495 (440K–660K NGN) per month, based on experience. Structured as a Consultant Agreement (independent contractor), meaning you'll be responsible for your own taxes, benefits, and insurance.
