A great patient experience includes understanding what to expect financially before care begins. In this role, you’ll lead the processes, technology, and teams responsible for delivering accurate, timely, and easy-to-understand patient financial estimates across OrthoVirginia.
As the Patient Estimates Supervisor, you’ll oversee estimate accuracy and workflows, partner across Revenue Cycle, Clinical Operations, Payer Relations, and IT, and use data to identify opportunities for improvement. Your work will play an important role in improving price transparency, reducing billing surprises, and creating a better financial experience for our patients.
What You’ll Do
Lead Estimate Accuracy & Performance
- Oversee the end-to-end patient financial estimate process, ensuring estimates reflect current contracted rates, benefits, charge structures, and pricing policies.
- Monitor estimate accuracy, variance trends, turnaround times, volume, and pre-service collection performance.
- Identify root causes of estimate discrepancies and implement solutions to improve accuracy and reduce downstream billing issues.
- Partner with Payer Relations and Managed Care to ensure pricing logic remains current as payer contracts change.
- Develop dashboards and provide regular reporting to leadership on performance, risks, trends, and improvement opportunities.
Optimize Workflows & Technology
- Develop, maintain, and improve standardized workflows for pre-service estimate generation.
- Partner with IT and system administrators to maintain estimating tools, price-transparency platforms, fee schedules, integrations, and payer benefit-retrieval logic.
- Validate system and configuration changes to help ensure estimate accuracy.
- Collaborate with Patient Access, Scheduling, and Financial Counseling teams to ensure patients receive estimates within established timeframes.
Elevate the Patient Financial Experience
- Ensure estimates and financial communications are clear, consistent, and patient-friendly.
- Establish communication and documentation standards for explaining estimated out-of-pocket costs and available payment options.
- Monitor patient feedback and trends to identify opportunities to improve the financial experience.
- Support initiatives designed to reduce unexpected patient balances and improve pre-service collections.
Partner Across the Organization
- Work closely with Revenue Integrity, Coding, Billing, Contracting, and Clinical Operations to align estimates with services and final billed charges.
- Ensure new services, procedures, and locations are appropriately configured for estimate generation.
- Provide training, guidance, and performance support to team members responsible for financial estimate processes.
What You’ll Bring
Required Qualifications
- At least 3 years of experience in patient financial services, healthcare revenue cycle, payer reimbursement, or a related area.
- At least 1 year of supervisory or team lead experience within revenue cycle or patient financial services.
- Strong understanding of healthcare billing, payer contracts, reimbursement, and revenue cycle processes.
- Experience working with practice management, EHR, or revenue-cycle systems.
- Strong Excel and reporting skills with the ability to interpret data, identify trends, and turn findings into action.
- Excellent communication, leadership, analytical, and problem-solving skills.
- Working knowledge of HIPAA, healthcare compliance, and applicable reimbursement requirements.
- Ability to travel to OrthoVirginia offices as needed.
Preferred Qualifications
- Associate or bachelor’s degree in healthcare administration, business, or a related field.
- Experience with platforms such as Epic, Cerner, Meditech, or similar healthcare systems.
- Experience with patient estimating, price-transparency, eligibility, or financial-clearance technology.
- Experience developing dashboards, metrics, or performance reporting within a revenue-cycle environment.
Compensation Range for this position:
$53,400.00 - $80,100.00Compensation for this role will be based on several factors, including the candidate's qualifications, relevant experience, education, skills, certifications, geography/market, and internal equity considerations.
