About the Role

As our Payroll & Finance Officer, you’ll own end-to-end payroll for our Australian entities, alongside a broader remit across transactional finance and month-end accounting. Your payroll responsibilities will include wages, superannuation, PAYG, terminations, back pay and leave payments, together with compliance documentation and reconciliation of payroll accounts to the General Ledger.

Beyond payroll, you’ll manage accounts payable and receivable, supplier enquiries and the accounts inbox. You’ll also contribute to month-end close through transaction processing, bank and balance sheet reconciliations, and preparation of journal entries, ensuring work is accurate, complete and ready for review.

Reporting to the Senior Finance Manager, you’ll join an experienced finance team and work closely with colleagues across the business. You’ll investigate discrepancies, research payroll queries, and bring recommendations for resolution, keeping current with legislative changes and identifying opportunities to improve processes and automate manual work.

What Success Looks Like

You'll learn our pay cycles, systems, and review processes with training from the team. By the end of your first 90 days, you'll independently run our payrolls and understand the cutoffs and approvals. You'll produce clear payroll reconciliations that are straightforward to review. You'll know when to research an issue yourself and when to seek clarification.

What Your Day-to-Day Will Look Like

  • Run Australian payroll, covering fortnightly employee pay runs and monthly director payments. Record payroll in Xero, reconcile the accounts, and prepare payments for finance leadership approval.

  • Review customer service officer (CSO) timesheets and award-related checks. Handle terminations, back pay, long service leave, and workers' compensation matters.

  • Prepare wages, superannuation, payroll tax, and pay as you go (PAYG) payments, with associated compliance documentation. Keep up to date with payroll legislation and policy changes.

  • Complete month-end and year-end payroll reconciliations to the General Ledger and Australian Taxation Office (ATO) reports, ensuring they are clear and ready for review and sign-off.

  • Manage accounts payable and receivable in line with contracts and trading terms. Handle charity invoices, payments, and revenue recognition.

  • Reconcile bank, credit card, and ledger accounts. Carry out weekly and daily banking across our Australian entities.

  • Reconcile expenses, check coding, and pull reports in ExpenseMe, our expense system. Record transactions correctly in Xero.

  • Support month-end close through transaction processing, journal entries, and balance sheet reconciliations. Assist with accrued expenses, prepayments, and the fixed asset register.

  • Manage the accounts inbox through Zendesk, respond to supplier enquiries, and reconcile supplier statements.

  • Identify and escalate exceptions, discrepancies, or control issues to the Senior Finance Manager, and suggest opportunities to streamline or automate manual processes.

What You’ll Be Able to Bring to the Role

  • Experience running Australian payroll end-to-end, including the accounting entries and reconciliations, not just processing pay runs.

  • Practical knowledge of payroll obligations, including award-related checks, terminations, back pay, long service leave, and workers' compensation.

  • The ability to undertake broader finance work alongside payroll, including accounts payable and receivable, banking, reconciliations, and month-end processing.

  • Strong spreadsheet skills in Google Sheets or Excel, and the ability to learn new finance and payroll systems. The team uses Google Sheets.

  • The judgement to research unfamiliar payroll issues, bring a considered recommendation where appropriate, and recognise when to escalate.

  • The ability to check your work before each review and prepare clear reconciliations. Clear written and verbal communication to resolve enquiries and build working relationships.

  • CPA qualification or equivalent professional accounting qualification would be advantageous.

Salary Banding: $110,000 to $130,000, plus superannuation.
