The Role:
The Payroll & HRIS Specialist is responsible for the accurate, timely, and compliant administration of the Company’s payroll, benefits, and HRIS functions. This position processes payroll for a multi-state, union and non-union workforce, administers the Company’s 401(k) plan, and serves as the primary administrator of ADP Workforce Now. The Payroll & HRIS Specialist ensures employees are paid on a timely and accurate basis, maintains data integrity, supports regulatory compliance, and continuously improves payroll and HRIS processes.
Responsibilities include, but are not limited to:
- Prepare and process weekly payroll for approximately 500 multi-state union and non-union employees including new hires, promotions, terminations, garnishments, leaves of absence, taxes, and other payroll changes.
- Process annual bonuses and monthly and quarterly commissions.
- Ensure compliance with federal, state, and local payroll laws and regulations.
- Configure and administer payroll and benefits requirements under applicable Collective Bargaining Agreements and respond to union audit requests.
- Administer the Company’s 401(k) plan, including annual testing, Form 5500 filing, and audit support.
- Partner with the HR team to support annual Open Enrollment, including ADP configuration, online enrollment, and vendor file feeds.
- Research and resolve payroll discrepancies and respond to employee payroll and compensation inquiries.
- Prepare payroll and employment reports and data for internal, regulatory, financial, and audit purposes.
- Process benefits invoices on a monthly, quarterly, and annual basis.
- Conduct regular payroll, benefits, and HRIS audits to ensure accuracy, compliance, and data integrity.
- Partner with Finance to provide payroll data and reporting required for financial close.
- Support internal and external audits, including benefits nondiscrimination testing, 401(k), labor union, and internal audits.
- Serve as the primary administrator for ADP Workforce Now Payroll and Time & Attendance, including system configuration and upgrades, troubleshooting, data integrity, process documentation, and user support.
- Evaluate and improve payroll and HRIS processes to increase accuracy and efficiency, streamline workflows, and reduce manual data entry.
- Perform other duties as assigned by management.
Qualifications/Requirements:
- Bachelor’s degree or equivalent work experience.
- Minimum of five years of related payroll experience.
- Experience with ADP Workforce Now required.
- Strong knowledge of payroll practices and applicable federal, state, and local requirements.
- Strong verbal, written, and interpersonal communication skills.
- Strong organizational skills and attention to detail, with an emphasis on data integrity and accuracy.
- Proficiency in Microsoft Excel.
- Certified Payroll Professional (CPP) designation preferred

- Monday to Friday
- Hybrid ( 4 days in office and 1 Work from Home day)
