Payroll Coordinator


Position Summary:

Under the general direction of the Payroll Team Lead, the Payroll Coordinator is responsible for accurately processing payroll for CoreMedical Group clinicians and providing exceptional customer support.



In this position, in addition to reporting to the Payroll Team Lead, there is coordination with the payroll department and regularly collaborates with the Payroll Manager, Finance Team, Sales Team, and other operational departments to ensure timely and accurate payroll processing for healthcare professionals.

Purpose: The purpose of your role as a Payroll Coordinator in healthcare staffing, is to ensure the accurate and compliant processing of payroll for healthcare professionals, enhance employee satisfaction, optimize operational efficiency, and contribute to the overall success and reputation of the organization.

Supervisory Responsibilities: No

Duties:

  • Process weekly timesheets and mileage reimbursement forms.
  • Review and process payroll accurately and on time.
  • Ensure proper processing of payroll deductions for taxes, benefits, and other contributions.
  • Maintain accurate clinician information across all payroll-related systems.
  • Process manual checks, perform calculations, and prepare paperwork for ACH transfers, wires, and GCC loads.
  • Communicate with clinicians regarding timesheet requirements and other essential documentation.
  • Respond to payroll inquiries promptly, resolving issues effectively and professionally.
  • Ensure compliance with company policies, industry regulations, and applicable tax and deduction laws.
  • Provide support with all aspects of the payroll department, as needed.
  • Perform general administrative duties for the Finance Department.
  • Responsible for the proper creation and documentation of task responsibilities, ensuring that all Standard Operating Procedures (SOPs) are consistently maintained, up-to-date, and accurate to support operational efficiency and compliance.
  • Responsible for performing all duties in accordance with the department’s standard operating procedures (SOPs), whether formal or informal. This includes adhering to established processes, maintaining consistency in workflow execution, and ensuring compliance with operational guidelines. Continue to stay informed of any updates or modifications to SOPs and apply them accordingly to maintain efficiency, accuracy, and alignment with departmental objectives.
  • Undertake additional responsibilities and tasks as assigned, demonstrating flexibility and adaptability to contribute effectively to diverse work assignments and organizational needs.

Required Skills/Abilities/Competencies:

  • Ability to maintain strict confidentiality.
  • Proficiency in Microsoft Word and Excel; internet research skills preferred.
  • Strong customer service orientation and problem-solving skills.
  • Ability to quickly learn and adapt to payroll systems and software.
  • Highly organized, detail-oriented, and capable of meeting strict deadlines.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities in a fast-paced, high-volume environment.
  • Self-motivated and capable of working both independently and collaboratively.
  • Strong sense of urgency with a calm and professional demeanor.
  • Accurate data entry and typing skills.
  • Consistent attendance and punctuality.

Education & Experience:

  • High school diploma or equivalent required.
  • Previous administrative experience required; payroll experience preferred.
  • Basic understanding of payroll concepts and terminology a plus.

Physical Requirements:

  • Prolonged periods of sitting and/or standing.
  • Daily use of computer systems and related technology.

Pay Range: $20-$21/hour. Pay range dependent on experience.

Compensation: $20-$21/hour. Depending on previous experience.
