Position Overview
The Payroll & HR Administrator is responsible for the accurate and timely processing and administration of all payrolls, including weekly and biweekly payroll. This role manages the end-to-end payroll process, supports payroll compliance and reporting, coordinates with ADP to support payroll processing, and provides payroll-related support to employees and managers. In addition to its primary payroll responsibilities, the role performs a range of administrative duties, including benefits and leave administration, new hire orientation, required reporting such as EEO-1 and Bureau of Labor Statistics reports, electronic file management, routine HRIS transactions, and job profile maintenance.
The Payroll & HR Administrator is responsible for the accurate and timely payroll processing, payroll compliance, reporting, and employee and manager support. The role serves as the primary payroll contact with ADP and also supports benefits and leave administration, new hire orientation, required reporting, HRIS transactions, job profile maintenance, and electronic file management.
Key Responsibilities
Payroll Administration
· Administer and maintain ADP eTime.
· Process weekly and biweekly payrolls accurately and timely utilizing ADP Workforce Now.
· Process bonus, off-cycle, and other special payroll runs as needed.
· Administer payroll activities, including new hires, terminations, direct deposits, deductions, garnishments, retroactive payments, reversals, corrections, employee verifications, and other payroll adjustments.
· Review and reconcile payroll to ensure accuracy and resolve discrepancies.
· Ensure accurate integration of payroll system with benefits and 401(k) systems.
· Support payroll year-end activities, including reconciliations, W-2s, Box 12DD, PTO processing, and related reporting.
Payroll Tax & Compliance
· Partner with ADP on payroll tax administration, tax notices, filings, state setups, and related issues.
· Maintain compliance with applicable payroll laws, regulations, company policies, and court-ordered deductions.
· Maintain accurate payroll records and documentation to support audits and compliance requirements.
· Serve as a resource to employees and managers regarding payroll questions and issues.
· Manage unemployment claims and related administration, including responding to state notices, coordinating required documentation, and partnering with managers and external vendors as needed.
401(k) Administration
· Administer payroll-related 401(k) contributions and employer matching.
· Reconcile 401(k) contributions and loan payments with payroll deductions.
· Coordinate the annual 401(k) audit and annual non-discrimination testing, including required follow-ups.
Benefits & Leave Administration
· Process employee benefit enrollments, life event changes, and terminations in the HRIS system.
· Support open enrollment activities, including system setup support, employee communications, enrollment review, and coordination of related payroll deductions.
· Review benefit deductions for accuracy and resolve enrollment or deduction discrepancies.
· Review, reconcile, and process benefits invoices.
· Respond to routine employee benefits questions and coordinate with benefit vendors as needed.
· Assist with employee leave administration, including required documentation, employee communications, tracking, and coordination with payroll and benefit deductions.
Reporting & Vendor Management
· Generate payroll reports as needed.
· Prepare and submit EEO-1 and Bureau of Labor Statistics reports.
· Serve as the primary payroll contact with ADP, maintain an effective vendor relationship, and partner with ADP to resolve system, processing, tax, and other payroll-related issues.
· Identify opportunities to improve overall processes, controls, and efficiency.
HR Administration & Systems Support
· Use the HRIS to support routine payroll, benefits, and employee data transactions, including open enrollment activities.
· Create and maintain job profiles and related employee records in the HRIS.
· Facilitate new hire orientation.
· Maintain electronic files, payroll procedures, and other Human Resources documentation.
· Assist with Human Resources projects and administrative process improvements that enhance accuracy, efficiency, and the employee experience.
Other Responsibilities
· Maintain strict confidentiality when handling employee compensation and payroll information.
· Serve as a backup to other Human Resources team members as needed.
· Field incoming external Human Resources phone calls and route inquiries to the appropriate team member.
· Perform other duties as assigned.
What Sets You Up for Success:
· Bachelor's degree in Accounting, Finance, Human Resources, Business Administration, or related field preferred; equivalent experience will be considered.
· 4+ years of progressive payroll processing experience with demonstrated experience managing end-to-end payroll processes.
· Experience processing both hourly and salaried payroll.
· Experience with ADP or a comparable payroll system; ADP experience strongly preferred.
· Strong understanding of payroll processes, tax administration, deductions, garnishments, and applicable payroll laws and regulations.
· Experience with 401(k) payroll administration, audits, and/or non-discrimination testing.
· Strong analytical, organizational, and problem-solving skills with exceptional attention to detail.
· Ability to manage multiple deadlines, work independently, and proactively resolve issues.
· Strong communication skills and ability to work effectively with employees, managers, and vendors.
· Ability to handle confidential information with discretion and professionalism.
· Strong Microsoft Office skills, particularly Excel.
Preferred: Payroll certification (FPC or CPP), experience with multi-state payroll, and experience using an HRIS to administer payroll, benefits, and employee data.
