We are looking for a Payroll & HR Partner (regular or senior) to join our Talent Attraction & Payroll team in Warsaw.

This is an opportunity for an experienced payroll professional who can independently manage complex payroll calculations and take ownership of the monthly payroll cycle. We are looking for a person with strong practical knowledge of Polish payroll, labor law, social security, and personal income tax regulations, combined with a accurate approach to controls, deadlines, and data confidentiality. Most importantly, a person who brings positive mindset, curiosity, and a willingness to learn and take on new challenges.

You will join a team of experienced Payroll & HR Partners supporting the organization. In this role, your primary focus will be payroll calculations, while HR administration (e.g. employment documentation) activities will remain a limited and supporting part of the position.

This position is based in our friendly Warsaw office. We value collaboration and enjoy working together in person while also offering flexibility to work remotely up to 4-8 days per month. You will report directly to Natalia Faccio.

Primary tasks and responsibilities:


  • Independently calculate monthly payroll for employees in Poland, ensuring accurate and timely processing of salaries, allowances, bonuses, deductions, benefits, absences, and other payroll components
  • Validate payroll input data, identify discrepancies, perform reconciliations, and complete pre-payroll and post-payroll controls
  • Calculate employment-related settlements, including new hires, contract changes, terminations, corrections, retroactive adjustments, and annual reconciliations
  • Prepare and verify statutory payroll declarations, reports, and payments related to ZUS, PIT, PPK, and other applicable obligations
  • Monitor changes in Polish payroll, labor, tax, and social security regulations and translate them into compliant payroll processes and system requirements
  • Resolve complex payroll cases and provide expert guidance to employees, managers, HR colleagues, Finance, and other internal stakeholders
  • Maintain accurate payroll data and documentation, including payroll-related updates in relevant systems
  • Prepare payroll reports, statistics, and data extracts, and provide documentation and explanations for internal and external audits
  • Contribute to payroll process improvements, automation, controls, data quality, and operational excellence; support HR administration when required to ensure continuity of payroll processes


To succeed in this role, you will have:


  • Several years of hands-on experience calculating payroll in Poland, preferably for a mid-sized or large organization
  • Strong practical knowledge of Polish payroll legislation, labor law, social security, personal income tax, PPK, and payroll-related reporting requirements
  • Experience managing the full monthly payroll cycle, including input validation, calculations, corrections, reconciliations, statutory reporting, and payroll closing
  • Very good numerical and analytical skills, with advanced proficiency in Excel and confidence working with payroll and HR systems
  • A strong control mindset and the ability to manage deadlines, priorities, sensitive data, and dependencies
  • Ability to communicate effectively in English, both written and spoken, as our colleagues are based in Poland and Denmark
  • Experience supporting audits, payroll accounting, process improvements, or system implementations will be an advantage
