Payroll Specialist
VirtualchampsSchedule: 6 hours/week or 1.2 hours/daily
Key ResponsibilitiesPayroll Processing
- Process end-to-end payroll for 5 companies across the US and Canada, supporting both semi-monthly (2x/month) and monthly (1x/month) pay schedules
- Run payroll using QuickBooks Online Payroll and Wagepoint, ensuring accuracy of hours, earnings, deductions, and remittances
- Reconcile payroll data from QuickBooks Time (timesheets, PTO, overtime) prior to each pay run
- Process off-cycle payments, bonuses, commissions, and final pay/termination payouts as needed
- Ensure all payroll remittances (federal, state/provincial, CRA, IRS/state agencies) are filed accurately and on time
Compliance & Taxation
- Maintain up-to-date knowledge of US federal/state and Canadian federal/provincial payroll tax regulations
- Ensure correct tax setup and withholding for multi-jurisdiction employees (state/provincial tax residency, reciprocity, CPP/EI, FICA, SUTA/FUTA, etc.)
- Prepare and support year-end filings: T4s, T4As, ROEs (Canada); W-2s, 1099s (US)
- Stay current on changes to payroll legislation in both countries and update processes/systems accordingly
- Support internal and external payroll audits
- Manage new hire payroll setup, terminations, and employee data changes across both countries
- Administer benefits enrollment and deductions, including group health benefits, 401(k) (US) and RRSP (Canada) contributions and employer matching
- Ensure accurate garnishments, deductions, and other statutory withholdings
- Serve as the point of contact for employee payroll and benefits inquiries
Systems & Process Management- Serve as the subject matter expert for QuickBooks Payroll (full suite) and QuickBooks Time
- Maintain accurate payroll records and employee files across all 5 entities
- Reconcile payroll-related GL accounts and support month-end close as it relates to payroll
- Identify and implement process improvements to increase accuracy and efficiency across multiple entities and pay cycles
- Maintain documentation of payroll procedures for each entity/jurisdiction
Qualifications
- 3+ years of hands-on payroll experience, including multi-entity and cross-border (US & Canada) payroll processing
- Demonstrated proficiency with QuickBooks Online Payroll and QuickBooks Time
- Experience with Wagepoint strongly preferred
- Solid understanding of US and Canadian payroll tax law, statutory deductions, and reporting requirements
- Experience administering 401(k) and RRSP programs, including employer contributions/matching
- High attention to detail and strong organizational skills; comfortable managing multiple pay schedules and entities simultaneously
- Ability to handle confidential employee data with discretion
- Strong communication skills for interfacing with employees, management, and external agencies/vendors
- Payroll certification (e.g., PCP, CPP, FPC) is an asset but not required
