Thrivin is a fast-growing women's activewear brand built around a simple belief: when you look good, you feel powerful. Founded in 2024, we create sculpting, confidence-boosting gymwear designed to support women through every workout and every part of daily life. Our collections combine performance, style, and functionality, helping women feel stronger both inside and outside the gym.
We're now a team of around 80 people working remotely across the world, and growing fast. We're looking for a People Operations Coordinator to keep our people operations running
smoothly and give everyone at Thrivin a great experience.
The Role
The People Operations Coordinator owns the systems, processes, data and administration behind Thrivin's people function. Reporting into the Head of People, you will own HiBob, run the employee and contractor lifecycle accurately and on time, and keep our processes compliant, consistent and easy to use across a global, fully remote team.
This is a hands-on role in a start-up: delivering the essentials brilliantly today while building the workflows, documentation and automation we need to scale beyond 80 people.
What You'll Own
Hiring Administration
- Coordinate recruitment administration from job posting to signed offer, including publishing roles on LinkedIn and the Thrivin careers page
- Source candidates through LinkedIn Recruiter, Claude and other tools, passing strong matches to the Recruitment Manager
- Shortlist applications and run initial screening calls when needed
- Schedule interviews across time zones and manage candidate communication and next steps
- Maintain candidate trackers and talent pipelines, keeping hiring managers updated
- Prepare offers, employment contracts and contractor agreements, and run references and UK right-to-work checks
- Create an incredible candidate experience from pre-boarding through to onboarding
Onboarding & Offboarding
- Own onboarding for employees and contractors, including HiBob setup, system access, equipment and welcome packs
- Build inductions and first-week schedules for a global remote team, and track probation reviews
- Manage offboarding end-to-end, including leaver letters, final pay inputs, equipment returns and access removal
- Gather new joiner and exit feedback to improve the experience
People Administration & Payroll
- Act as first point of contact for people queries from employees, contractors and managers
- Manage lifecycle changes, including role and pay changes, contract renewals and leave
- Prepare people letters, such as contract variations and confirmation of engagement letters
- Prepare monthly UK payroll inputs and coordinate contractor invoicing and fee changes with finance
- Support benefits administration and maintain accurate, confidential personnel and contractor records
HiBob & People Data
- Own HiBob as the single source of truth, configuring workflows, time off policies and onboarding tasks
- Produce regular reports on headcount, starters and leavers, absence and turnover
- Run the operational side of performance reviews, engagement surveys and training tracking
Compliance & Process Improvement
- Ensure people processes comply with UK employment law and GDPR, escalating risks to the Head of People
- Keep contracts, policies and the employee handbook up to date, and support employee relations cases with documentation and note-taking
- Track key deadlines, including probation reviews, contract renewals and right-to-work expiry dates
- Document processes in clear SOPs and automate manual work wherever possible
What We're Looking For
Experience
- 2+ years in a People Operations, HR operations or HR administration role
- CIPD Level 3 or Level 5 qualification (or currently working towards one) is strongly preferred
- Hands-on experience administering HiBob is essential
- Strong working knowledge of UK employment law, including contracts, right to work, leave and GDPR
- Experience across the full employee lifecycle, including payroll inputs and working with finance
- Start-up or scale-up experience, ideally supporting a remote, international team of employees and contractors
- Experience within fashion, activewear, retail or DTC brands is a plus
Skills & Competencies
- Exceptional organisation and attention to detail, with a high standard of data accuracy
- Highly discreet with confidential information
- Warm, approachable and people-first, with high emotional intelligence
- Excellent written and verbal communication, comfortable working across time zones
- Process-minded and proactive, able to manage a high volume of tasks at pace
- Proficient in HiBob, Google Workspace and Slack
