About the role
You'll own the day-to-day running of Moneybox's core people processes, from a new joiner's first contract to their final payslip. It's a hands-on role at the centre of the People Team: you'll make sure every employee has a smooth, accurate and compliant experience at each stage of their time with us.
As a regulated business, getting the details right matters. You'll own our SM&CR administration and background screening, keep our people data accurate across our HR systems, and run payroll administration each month.
We also want someone who sees a manual process and asks how it could be automated. You'll use AI and automation tools in your daily work and help us remove repetitive admin so the team can focus on higher-value work.
Key responsibilities
Onboarding
Prepare and issue offer letters and employment contracts accurately and on time
Coordinate equipment and system access for new joiners with IT and hiring managers
Own new joiner communications from offer acceptance through to day one
Run background and pre-employment screening checks, making sure they meet our regulatory requirements before start dates
Own and deliver the People new joiner session
Coordinate the wider onboarding programme, working with teams across the business to keep it relevant and well run
Offboarding
Process resignations promptly, including acknowledgement letters, notice periods and final pay information
Prepare all leaver documentation and make sure leavers are processed accurately in our systems and payroll
Coordinate exit surveys and share themes with the People Team
Employee lifecycle support
Produce lifecycle documentation such as contract variations, reference letters, employment confirmations and promotion letters
Process changes to employee terms, working patterns and family leave
Be a first point of contact for employee and manager questions on people processes and policies
Payroll
Own the monthly payroll administration process, preparing accurate inputs for starters, leavers, changes and benefits
Work with our payroll provider and Finance to make sure payroll runs accurately and on time
Handle payroll queries and keep clear records for audit
Systems and data
Maintain high data integrity across our people systems, including HiBob, Culture Amp and Zinc
Own data quality: run regular audits, fix errors and keep processes documented
Help manage system configuration, integrations and improvements
Produce people data and reports for the People Team and the business
Regulatory and compliance
Own the day-to-day administration of our SM&CR process for Senior Managers and Certified Individuals
Make sure background checks meet FCA expectations and internal policy
Run the annual Fitness & Propriety (F&P) assessment process, tracking completion and evidence
Maintain clear, auditable records of all regulatory people activity and flag risks early
Help keep regulatory references, certifications and FCA notifications on track
Automation and AI
Use AI tools in your daily work to work faster and more accurately
Spot manual, repetitive tasks and support proposals to automate or simplify them
Help build and improve automated workflows across our people systems
Share what works with the team and help others adopt new tools
Whilst the core focus of this role will be People Operations, we work as a blended team and recognise the importance of supporting one another. From time to time, this will mean lending a hand outside your day-to-day responsibilities, such as supporting our Office Manager with the setup of our monthly company meetings.
