About the role
We are looking for an experienced Senior People Operations Specialist to support the day-to-day operation of the People function in Poland.
This is an 18-month fixed-term replacement role supporting the Poland People Operations function.
This is a locally focused role requiring practical knowledge of Polish employment law, payroll and HR administration. You will work closely with employees, managers, the regional People team, the payroll provider, benefits suppliers and Polish authorities.
The role requires a high level of independence, attention to detail and the ability to assess local HR risks and determine when escalation is required.
Key responsibilities
- Manage the employee lifecycle in Poland, including onboarding, employment changes, transfers, leave processes and offboarding.
- Prepare and manage Polish employment contracts, amendments, termination documents, certificates and other employment documentation.
- Maintain legally compliant personnel files, including physical originals and properly executed electronic documents.
- Coordinate occupational medicine examinations, health and safety training and Polish onboarding requirements.
- Review and validate monthly payroll input prepared for the external payroll provider.
- Reconcile payroll data with HCM, employee documentation and payroll provider reports, identifying and correcting discrepancies.
- Manage Polish maternity, parental, paternity, childcare, sickness, special and unpaid leave processes.
- Support managers and employees with questions concerning Polish employment law, working time, overtime, on-call duties, protected employees, leave and terminations.
- Manage local benefits.
- Manage work and residence permit processes for non-Polish employees, including monitoring permit validity, coordinating applications and renewals, maintaining required documentation and liaising with employees, external immigration providers and relevant authorities.
- Manage PPK enrolment, resignations, payroll data and the statutory re-enrolment process.
- Use local platforms and systems, including Oracle and ZUS PUE, and coordinate statutory notifications where required.
- Support year-end tax activities, including the validation of data required for PIT-11.
- Manage the monthly AKUP/copyright-cost process, including employee reports, manager approvals, verification against working time and absences, and payroll input.
- Maintain HR reports, process documentation and SOX controls, ensuring that activities are completed accurately, on time and with appropriate evidence.
- Contribute to the improvement of local HR procedures and cooperation with regional People Operations teams.
What you will bring
- Approximately 5 years of experience in HR operations, People Operations or a similar HR role.
- Practical and up-to-date knowledge of Polish employment law and employment documentation.
- Experience working with an external payroll provider and reviewing payroll calculations.
- Understanding of Polish law relocation requirements.
- Experience with Polish absence, annual leave, maternity, parental and sickness-related processes.
- Experience administering employee benefits and PPK.
- Ability to read and assess Polish-language employment, payroll and screening documentation.
- Experience working with HR systems.
- Strong attention to detail and the ability to identify inconsistencies and potential compliance risks.
- Good understanding of confidentiality, data protection and HR documentation requirements.
- Ability to work independently, prioritise deadlines and manage several processes at the same time.
- Strong analytical, organisational and problem-solving skills.
- Excellent communication and stakeholder-management skills.
- Fluency in Polish and strong written and spoken English.
- Good knowledge of Microsoft Office, particularly Excel, Word and Outlook.
- Experience working in an international and multicultural environment.

For this position, the gross base salary starts from PLN 10 613 PLN Gross per month (full-time employment contract), determined using objective and gender-neutral criteria including skillset, experience and role responsibilities.
