Personal Assistant to C-Suite Member

Location: London – Hybrid

Hours: Monday to Friday – 9:00am – 5:00pm

Reports to: Head of CEO Office

Salary: Competitive

Company Description

Optio Group is a global specialist Managing General Agent (MGA) with a presence across the UK, USA, South America, Europe, Asia, and MENA. Known for our innovative and bespoke insurance solutions, we address both simple and complex risks with precision and agility. Supported by top-tier capacity providers and state-of-the-art data-driven models, we deliver exceptional results that cater to the evolving needs of brokers and clients. Our team of highly skilled underwriters and diverse specialists collaborates to foster long-term relationships built on trust, transparency, and consistency. At Optio, we are proud to blend underwriting excellence with a forward-thinking approach, making us one of the fastest-growing MGAs in the UK.

Role Description

We are looking for an experienced and proactive Personal Assistant to join our London office, each providing dedicated support to members of our C-Suite. This is a high-trust, high-impact role; you will be a true partner to your executives, managing their time, priorities and stakeholders so they can focus on leading the business. We promote hybrid working, with three days per week in the office as a key expectation. The role may also involve occasional travel where support is required outside our London office, such as attending conferences abroad or visiting other Optio sites.

Working closely with the CEO Office and the wider Support team, you will be at the heart of a fast-growing, international business, with exposure to senior leadership, the Board, investors and our global network of brokers and capacity providers. The role is varied and fast-paced, with real scope to take ownership and shape how you support your executives. As part of the role you will be expected to:

  • Proactively manage complex and fast-moving diaries, prioritising competing demands and resolving conflicts before they arise
  • Act as the first point of contact for your executives, handling calls, emails and enquiries professionally and directing them to the right person
  • Organise domestic and international travel, including flights, accommodation, visas and detailed itineraries, working across multiple time zones
  • Coordinate internal and external meetings, including leadership, Board and committee meetings, and client, broker and capacity provider meetings
  • Prepare, collate and distribute agendas, meeting packs and presentations; take notes and track actions where required
  • Draft correspondence and documents on behalf of your executives, and proofread materials to a high standard
  • Follow up on actions and deadlines, ensuring your executives are briefed and prepared for every meeting
  • Process expenses, invoices and purchase requests accurately and on time
  • Build strong relationships with colleagues at all levels and with external stakeholders, including investors, Board members, clients and brokers
  • Handle confidential and commercially sensitive information with complete discretion
  • Support leadership off-sites, client entertainment, events and ad-hoc projects
  • Work closely with the wider Secretarial Support team, providing cover and sharing best practice

You will be joining a collaborative and supportive team, and there is considerable opportunity to broaden the role, take on additional responsibility and grow with the business.

Qualifications

  • Proven experience as a Personal Assistant or Executive Assistant supporting senior executives
  • Experience within insurance, the Lloyd’s market or financial services is desirable but not essential
  • Exceptional organisational skills, with the ability to manage multiple diaries and competing priorities
  • Proactive and solutions-focused; able to anticipate needs and spot the things that need doing before being asked
  • Calm and composed under pressure, with a flexible approach
  • Absolute discretion and integrity when handling confidential information
  • Strong Microsoft Office skills, particularly Outlook, Word and PowerPoint
  • Experience using AI tools such as Claude to increase efficiency in the role is desirable
