We are seeking an experienced Remote Personal Injury Case Manager to manage personal injury claims from initial intake through case resolution/settlement. The ideal candidate is highly organized, proactive, detail-oriented, and comfortable independently managing a large caseload while communicating effectively with clients, attorneys, medical providers, insurance companies, and other parties.

This role requires strong knowledge of the personal injury case lifecycle, excellent documentation skills, and the ability to move cases forward without constant supervision.

Key Responsibilities
1. Client Intake & Case Setup
Conduct initial client intake and gather accident, injury, insurance, medical, employment, and contact information.
Review intake information for completeness and identify missing documentation.
Open and organize electronic case files.
Obtain signed representation agreements, authorizations, HIPAA releases, and other required documents.
Verify insurance coverage and collect relevant policy information.
Establish case timelines, deadlines, and follow-up schedules.
2. Medical Treatment Management
Coordinate with clients regarding ongoing medical treatment and appointments.
Communicate with medical providers, facilities, attorneys, and lienholders.
Request and track medical records, bills, imaging, treatment notes, and other documentation.
Monitor treatment progress and identify gaps in care.
Maintain accurate medical timelines and case notes.
Follow up with clients who have missed appointments or stopped treatment.
3. Liability & Insurance Investigation
Collect and organize police/accident reports, photographs, witness information, statements, and other evidence.
Track liability-related documentation and outstanding evidence.
Communicate with insurance adjusters regarding claims and documentation.
Monitor claim status, coverage information, and applicable deadlines.
Escalate liability or coverage issues to the attorney when appropriate.
4. Case Development
Maintain complete and organized digital case files.
Prepare case summaries and chronologies for attorney review.
Track damages, medical expenses, lost wages, property damage, and other economic losses.
Obtain supporting documentation for wage-loss and other damages claims.
Identify missing evidence and proactively follow up to obtain it.
Maintain accurate case-management-system records.
5. Demand & Settlement Preparation
Ensure the case file is substantially complete before demand preparation.
Compile medical records, bills, photographs, wage documentation, and other supporting evidence.
Assist with preparation of settlement demand packages and supporting documentation.
Track demand submission dates and insurance response deadlines.
Communicate with adjusters regarding outstanding documentation and settlement status.
Maintain detailed negotiation and communication records.
Escalate settlement offers, disputes, and significant developments to the attorney.
6. Settlement & Case Closing
Assist with settlement documentation and client communications.
Coordinate outstanding medical bills, liens, and subrogation claims.
Track settlement funds and required documentation in accordance with firm procedures.
Assist with settlement disbursement documentation.
Confirm completion of required closing tasks.
Ensure electronic case files are complete and properly organized before closure.
7. Client Communication
Serve as a primary point of contact for assigned clients.
Provide timely updates regarding case progress.
Respond professionally to client questions and concerns.
Explain case processes and next steps within the scope of the role.
Maintain appropriate communication records.
Proactively contact clients when important information or action is required.
8. Caseload & Workflow Management
Independently manage multiple active personal injury cases simultaneously.
Prioritize cases based on treatment status, deadlines, settlement stage, and urgency.
Maintain accurate task lists and follow-up calendars.
Meet internal productivity and case-management deadlines.
Ensure no case becomes stagnant because of missed follow-ups.
Escalate urgent legal, medical, liability, or client issues promptly.
Qualifications
2+ years of experience managing personal injury cases, preferably from intake through settlement.
Strong understanding of the personal injury claim lifecycle.
Experience communicating with insurance adjusters, medical providers, clients, and attorneys.
Experience obtaining and reviewing medical records and bills.
Familiarity with personal injury case-management software and CRM systems.
Strong written and verbal English communication skills.
Excellent organization, documentation, and time-management abilities.
Ability to work independently in a fully remote environment.
Strong attention to detail and ability to manage competing priorities.
Comfortable handling confidential and sensitive client information.
Preferred Qualifications
Experience working with a U.S.-based personal injury law firm.
Experience with pre-litigation personal injury cases.
Familiarity with settlement demands, liens, subrogation, and settlement documentation.
Experience with case-management platforms such as Litify, Clio, Filevine, SmartAdvocate, or similar systems.
Experience working with U.S. insurance carriers and medical providers.
Paralegal certification or relevant legal education is a plus.

Skills

2+ years managing personal injury cases from intake through settlement with strong knowledge of the claim lifecycle, excellent communication with clients/attorneys/medical providers/adjusters, and ability to work independently in a fully remote role.

U.S.-based personal injury law firm experience, pre-litigation case handling, familiarity with settlement demands/liens/subrogation, paralegal certification or legal education, and experience with U.S. insurance carriers and medical providers.

Personal injury case-management software and CRM systems such as Litify, Clio, Filevine, or SmartAdvocate for managing digital case files and tracking case progress.
