Position Overview
Reporting directly to the Vice President, Policy & Legislative Affairs, the Policy & Advocacy Coordinator is a key member of the Policy, Quality, Regulatory, and Compliance (PQRC) team. This role supports the effective execution of cross-functional business initiatives across the team. This role coordinates workflows, tracks deliverables, supports process improvements, prepares materials, and helps ensure the department has the information, tools, and follow-through needed to meet organizational priorities. The ideal candidate is highly organized, technologically proficient, solution-oriented, and able to manage multiple priorities in a fast-paced, collaborative environment.
Primary Responsibilities
Although other duties may be assigned, the Policy & Advocacy Coordinator’s duties include the following.
Policy Administration Support
- Coordinate projects, workflows, and deliverables that support organizational priorities across Public Policy, Regulatory Affairs, Government Relations, and Quality & Compliance.
- Draft and format responses to inquiries via email and re:Members as directed by the VP of Policy and Legislative Affairs, and General Operations.
- Develop and organize meeting materials, project summaries, process documents, presentations, and follow-up action items.
- Coordinate meetings, timelines, project milestones, and follow-up activities for the PQRC team and general operations.
- Prepare clear internal communications, status updates, workflow summaries, and operational briefings to support cross-functional alignment.
- Create, maintain, and refine operational tools and materials using Microsoft Excel, Word, Visio, and PowerPoint, including tracking spreadsheets, formatted documents, process maps, dashboards, and presentations.
Office Coordination & Operational Support
- Provide office coordination support, including visitor coordination, front desk coverage, mail distribution, deliveries, and related operational needs as required to support business operations. This role is responsible for front desk coverage 3 days a week in the office.
- Support a professional and responsive office environment for visitors, staff, vendors, and cross-functional partners.
- Coordinate incoming mail, deliveries, and office materials to ensure timely routing and follow-through.
- Support accurate capture, routing, and documentation of materials requiring entry into internal systems.
- Coordinate office logistics and operational requests in partnership with Facilities and appropriate department contacts.
Facilities, Vendor & Departmental Coordination
- Serve as the point of contact for shredding services and coordinate related pickups.
- Serve as the primary liaison with building management staff on office-related needs.
- Coordinate meeting logistics, meals, vendor scheduling, and facilities-related support for cross-functional initiatives and operational activities as needed.
Required Qualifications
- BA/BS or relevant experience and high school diploma.
- Familiarity with or interest in health care policy, home care/aging services, and/or the legislative and regulatory process. Demonstrated knowledge of healthcare legislation and regulations preferred.
- 1-3 years of prior administrative, front desk, or office coordinator experience preferred.
- Strong written and verbal communication skills.
- Proven prioritization and problem-solving capabilities.
- Professional, polished demeanor with a positive, service-oriented attitude.
- Highly organized with strong attention to detail and ability to manage multiple priorities.
- Tech-savvy, with intermediate proficiency in Microsoft Word, Excel, PowerPoint, and Visio.
- Ability to handle sensitive and confidential information (draft legislative positions, coalition strategy, member advocacy data) with discretion.
- Reliable, punctual, and comfortable working in-person at the front desk on a set schedule.

- Must be reliable and trustworthy.
- Ability to work from the assigned office three (3) days a week on a regular basis, subject to change based on the needs of the business.
This position is based in our Alexandria VA, office and we prefer candidates who currently reside in the Washington, DC metro area (DMV), or who are willing to relocate. The role is currently a hybrid telework arrangement with three (3) days a week in the Alexandria, VA office and may be subject to change with the needs of the organization.
Compensation & Benefits
This position is classified as a full-time, non-exempt position with a starting hourly rate of $24.04 - $28.85/hour to commensurate with related experience.
