Salary Range: $75,000.00 To $90,000.00 Annually
MG+M The Law Firm has an immediate opening for a Transactional Practice Administrative Assistant in our Boston office.
This role is a key member of our firm’s growing transactional practice group, and helps ensure that client matters move efficiently, administrative processes remain organized, and attorneys can focus on delivering outstanding legal services. The successful candidate will become deeply involved in the daily flow of client work and play an active role in coordinating the processes that keep matters moving forward in a fast-paced environment.

Essential Duties and Responsibilities:
- Coordinate new client and new matter intake, gather information needed for conflict checks, monitor outstanding matter-opening requests and related administrative requirements.
- Prepare engagement letters, coordinate electronic signature processes, track execution status and follow-up regarding outstanding documents.
- Maintain matter status reports and track deadlines, priorities, client requests, and follow-up obligations.
- Monitor pending action items across numerous active matters, coordinate workflow, and help ensure client deliverables move efficiently through the practice
- Support attorney timekeeping, billing, pre-bill review, and assist with identification of missing time entries.
- Perform substantive client-service and billable work, including due diligence, document review, matter management, and other related assignments as appropriate.
- Coordinate client meetings and related logistics.
- Draft routine client correspondence and support attorneys in maintaining a high level of client responsiveness.
- Assist with trust-account administrative processes, including trust deposits and disbursement requests, while following established procedures for wire verification and coordinating supporting documentation.
- Support corporate, entity, and practice-related research projects.
- Prepare status reports, checklists, presentations, and other practice materials.
- Maintain organized electronic records and matter files.
Candidate Requirements and Personal Attributes:
- Minimum of 5 years of law firm or professional services experience.
- Proficiency with Microsoft Office Suite, Teams, SharePoint, and document management systems.
- Experience supporting transactional, corporate, M&A, finance, tax, or real estate practices.
- Familiarity with law firm billing, timekeeping, and practice management systems.
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Excellent written and verbal communication skills.
- Highly organized, detail-oriented, and capable of working independently while maintaining a high level of professionalism and client service.
- Strong problem-solving skills and the ability to anticipate needs and proactively drive matters forward.
- Dependable, professional, and flexible, with excellent attendance and a willingness to assist wherever needed.
