PURPOSE

This role sits within the People Team (HR) and focuses on our People processes, data and systems. We are looking for a Privacy, Governance & Process Improvement SME to become our single, accountable point of expertise for the compliant, well-governed and secure management of HR data and systems — and the person who improves how our People processes actually run. Today these responsibilities sit informally across the team.

You’ll lead the People-side privacy program within established privacy and compliance procedures, and you’ll apply a process analysis and Lean mindset to our ways of working. Payroll, Benefits and our AI-enabled services are where that effort is concentrated.

You’ll work within a layered data model — partnering with Data Owners, Data Stewards, Center of Excellence, Process Leads while you lead the programmatic work: guiding retention, running assessments, documenting standards and ensuring diligent process execution.

  • Work across teams — collaborate closely with HR, IS, Privacy, Legal, Compliance and Procurement, locally and globally.
  • Own the governance agenda — be the go-to expert for privacy, security and AI governance across People Team systems.
  • Make the processes better — analyze, map the as-is, remove waste and manual hand-offs, and redesign how Payroll, Benefits and People Ops work day to day.
  • Become the knowledge hub — consolidate expertise from Global Process Owners, document it, and train the wider team to embed governance and standard ways of working.
  • Get things done — we need someone with drive who takes an initiative from definition through execution to a measured result, not someone who hands over a report and stops.

Regulatory scope: you’ll ensure our People data and systems stay compliant with GDPR, SOC2 / ISO and the EU AI Act, alongside our internal data retention frameworks.

WHAT YOU WILL DO

Data Privacy & Retention

  • Own and manage OneTrust assessments and workflows for all People Team processes, ensuring GDPR and local compliance.
  • Lead the definition and enforcement of data retention policies per HR data domain (compensation, talent, workforce, payroll, benefits).
  • Handle privacy requests, data subject requests and assess new and existing systems — including AI-enabled ones — for privacy and security risk.
  • Own the privacy side of vendor onboarding and offboarding within the People Team: due diligence, privacy review and approved hosting sign-off.
  • Coordinate with Data Owners and Data Stewards on the execution of privacy obligations, including personal file (P-file) governance across entities, subsidiaries and joint ventures.

Security, Compliance & Audit

  • Lead SOC2 and ISO compliance activities for HR-owned systems and applications.
  • Be the face of HR system audits — work with internal and external auditors, provide evidence, prepare mitigation plans and drive the agreed remediation with stakeholders.
  • Run the regular control checks that follow from audit findings, so remediation stays in place rather than lapsing after closure.

Process Analysis & Improvement

  • Document the as-is process end to end with the teams doing the work, making hand-offs, workarounds, manual steps and duplicated effort visible.
  • Baseline before you change: capture handling time, volumes, rework and error rates so improvement can be evidenced rather than asserted.
  • Design the to-be process with Global Process Owners and local teams — standard work, clear ownership, fewer hand-offs, controls built in rather than bolted on.
  • Apply Lean thinking: waste identification, root-cause analysis, pilot and scale. Fix the process before automating it.
  • Document to a high standard: SOPs, process maps, standards and controls — written so someone else can run the process without you.
  • Own the improvement backlog, translate process change into system requirements, and support testing, UAT and adoption with IS and vendors.
  • Track and report the realised benefit — effort saved, cycle time, ticket volume, error reduction — against what was estimated.

AI Governance

  • Support the rollout of AI initiatives within the People Team, ensuring alignment with the EU AI Act and internal policies.
  • Register and risk-classify AI use cases, and evidence human oversight before go-live.
  • Monitor AI adoption and related risks, and manage change governance for new AI tools and capabilities.
  • Maintain a working understanding of how our People systems are integrated and where data flows between them, including payroll and local vendors.

Knowledge Consolidation & Training

  • Partner with Global Process Owners to consolidate knowledge and continuously improve processes across the People Team.
  • Design and deliver training, documentation and change management to process owners, Data Stewards and the wider team.

Project & Stakeholder Management

  • Support the onboarding of newly acquired companies from a privacy and compliance perspective, establishing the compliance framework as part of M&A projects.
  • Lead cross-functional initiatives in the privacy, governance and process improvement space, owning the full lifecycle from definition through execution to ongoing monitoring.
  • Maintain regular connects with IS, Legal and Compliance stakeholders, and deliver reporting on privacy, governance and improvement matters.

Qualifications

WHO YOU ARE

  • 5+ years’ experience in data privacy / GDPR, ideally within an HR or People data environment.
  • Strong knowledge of data privacy and governance frameworks: GDPR, SOC2, ISO, the EU AI Act and data retention.
  • Hands-on experience working with internal and external auditors — providing evidence and driving mitigation plans to completion.
  • Experience documenting an as-is process, redesigning it and evidencing the result — not only writing recommendations; process mapping, preparing SOPs, and translating business needs into clear standards.
  • Familiar with HR systems, processes and applications; experience with OneTrust or LeanIX is a strong plus.
  • Preferred: experience in process improvement, project management or IT governance.
  • Preferred: exposure to M&A integration and establishing compliance frameworks.
  • Lean or continuous improvement capability; Lean / Six Sigma training (Green Belt or equivalent) desirable.
  • Comfortable with data — able to pull, structure and interpret process and system data (Excel, Power BI or similar) to find where the effort and errors sit.
  • AI literacy — understands agentic solutions, how to evaluate their output, and the governance obligations that come with them.
  • Bachelor’s degree in a relevant field (business, IT, information management) or equivalent experience.
  • Manages complexity — makes sense of complex information to solve problems and find root causes.
  • Communicates and collaborates effectively — engages HRLT, IS, Legal and external vendors with credibility and tact.
  • Takes initiative — spots what needs doing without being asked, proposes the fix and drives results.
