Job Description

Producer – Events & Talent

Location: South Africa (Remote)

Employment Type: Full-time

The Opportunity

We are recruiting on behalf of an established international business operating within the corporate events, talent and professional speaking industry.

Our client is looking for an experienced, highly organised Producer to join its growing production function. This is an exciting opportunity for someone who enjoys managing multiple projects, building strong relationships and ensuring events and engagements run seamlessly from initial confirmation through to completion.

The successful candidate will take ownership of a varied portfolio of bookings, coordinating all aspects of production, including client communication, contracts, briefing sessions, event logistics and post-event deliverables.

This is a hands-on position suited to someone who thrives in a fast-paced, international environment and is confident working independently as part of a collaborative remote team.

Key Responsibilities

Project & Booking Management

  • Manage multiple client bookings and event projects from initial confirmation through to successful delivery.

  • Coordinate the handover of confirmed projects from commercial teams, ensuring all relevant information is captured accurately.

  • Liaise with clients to confirm event requirements, deliverables, timelines and logistical arrangements.

  • Prepare, review, and coordinate contracts and booking agreements, ensuring documentation is completed efficiently.

  • Maintain accurate project records and provide regular updates on booking progress.

  • Work closely with internal stakeholders to ensure projects progress smoothly and deadlines are met.

Client & Talent Coordination

  • Act as a key point of contact for clients, speakers, talent representatives and other stakeholders.

  • Organise and facilitate briefing calls to align expectations and confirm event objectives.

  • Ensure all parties have the necessary information relating to event formats, audiences, schedules and technical requirements.

  • Build positive working relationships and deliver a consistently high standard of service.

  • Manage changes, queries and unexpected challenges professionally and proactively.

Event Production & Logistics

  • Oversee the operational planning and coordination of virtual, hybrid and in-person events.

  • Prepare and maintain detailed event schedules, production documents and call sheets.

  • Coordinate travel, accommodation and other logistical requirements where applicable.

  • Liaise with relevant parties regarding technical specifications, accessibility requirements and event arrangements.

  • Provide event-day support and resolve operational issues as they arise.

  • Coordinate any agreed post-event materials, recordings or additional deliverables.

Contracts & Financial Administration

  • Prepare and manage contractual documentation using established processes and templates.

  • Ensure accurate recording of fees, expenses, payment terms and agreed deliverables.

  • Support purchase order requirements, supplier onboarding and related administrative processes.

  • Collaborate with finance colleagues to facilitate timely and accurate invoicing.

  • Identify and escalate contractual or financial queries where necessary.

About You

We are looking for a proactive, detail-oriented individual with a strong background in event production, talent coordination, or a related field.

Essential Experience & Skills

  • Proven experience in event production, corporate events, speaker management, talent management or a similar role.

  • Demonstrated ability to manage multiple concurrent projects with competing deadlines.

  • Experience preparing, reviewing or coordinating contracts, booking agreements and associated documentation.

  • Strong organisational skills and exceptional attention to detail.

  • Excellent written and verbal English communication skills.

  • Confidence communicating with senior stakeholders, clients and talent representatives.

  • Ability to remain calm, resourceful and solutions-focused under pressure.

  • Strong administrative capabilities and confidence using digital project management tools.

  • Comfortable working autonomously within a distributed international team.

  • A proactive approach to problem-solving, process improvement and adopting new technology.

Desirable Experience

  • Experience supporting international clients, particularly across European or North American markets.

  • Background within a talent agency, speaker bureau, events agency or similar environment.

  • Familiarity with CRM systems, electronic signature platforms and event management software.

  • Experience coordinating virtual events, technical rehearsals or online presentations.

  • Understanding of international travel arrangements and event logistics.

  • An interest in automation and AI-enabled workflows.

What Success Looks Like

The successful candidate will quickly develop ownership of their projects, building confidence across the full production lifecycle.

Key measures of success will include:

  • Consistently delivering well-organised projects and events to agreed timelines.

  • Ensuring contracts and relevant documentation are completed accurately and promptly.

  • Maintaining clear, professional communication with clients and stakeholders.

  • Anticipating logistical challenges and resolving issues before they impact delivery.

  • Supporting effective collaboration across international teams.

  • Contributing to a positive client experience and long-term professional relationships.

Working Arrangements

This is a full-time, fully remote opportunity based in South Africa, supporting an international client base.

Working hours will be structured to provide meaningful overlap with European and North American business hours. As a result, the successful candidate should be comfortable working a later schedule than traditional South African office hours.

Some flexibility will be required to accommodate live events, client briefings and occasional activity outside standard working hours.

The role will suit someone who is comfortable managing their own workload, adapting to seasonal fluctuations in demand and working effectively within a remote environment.

Why Consider This Opportunity?

This position offers the opportunity to work on a diverse range of international projects, engage with senior professionals and high-profile talent, and take genuine ownership of event delivery.

It is particularly well suited to an experienced Producer seeking a varied, relationship-driven role with autonomy, responsibility, and exposure to an international events environment.
