Team Summary
Technology Services team is integral to maintaining the Firm’s overall technology, mobile and desktop devices, and core infrastructure to ensure reliable, secure and efficient operations. Technology Services is a single global operation with representation in each of the Firm’s offices. Additionally, we have shared service centers in Tampa and Manila, supporting a wide range of technologies and operations. In addition to overseeing critical enterprise systems and providing world-class client service to our global user community, we are committed to achieving a balance between new and innovative technologies while constantly ensuring data security and compliance with legal and regulatory standards, resulting in realizing value from the latest developments in technology, such as generative artificial intelligence and cloud computing models, while safeguarding sensitive client information against cyber threats and other business interruption events. Technology Services plays a significant role in supporting the Firm’s systems and people.
Position Summary
The Product Manager for Document Management Solutions will sit within the Technology team and own the day‑to‑day running of iManage as the Firm’s document management platform.
This role is the single point of accountability for the iManage roadmap. The Product Manager will gather and prioritise feedback from fee earners and from the internal teams whose work touches document management — including the Office of General Counsel, Information Governance, Practice Technology and Knowledge Solutions — and translate that feedback into a coherent product strategy that keeps iManage aligned with how the Firm operates.
The Product Manager will act as a key business stakeholder in the Firm’s ongoing iManage cloud migration, ensuring that the programme is delivered in a way that is optimal for fee earners, for the Technology function, and for the Firm’s wider AI and knowledge strategy. The postholder will also serve as the principal interface between iManage and the lawyers and business services teams that depend on it, ensuring that business outcomes drive technical decisions.
The roles and responsibilities of this job include:
- Set the product strategy and direction in support of the Firm’s values, strategy and business needs.
- Assume ownership of product plans, implementation and general management of the product
- Represent the value proposition of the product to Firm leadership.
- Manage vendor relationships and keep abreast of new industry trends in the relevant areas to address current needs, as well as to anticipate future growth and opportunities.
- Organize and facilitate product surveys.
- Proactively engage with product consumers to determine how well the product is meeting the defined needs
- Collaborate with the product community and thought leaders, to identify and prioritize opportunities for enhancement and expanded offerings.
- Ensure the product is properly maintained, monitored and administered, and that consumers of the product receive adequate training and support.
- Facilitate action required for meeting satisfaction targets.
- Ensure the product continues to evolve and develop through appropriate release cycles.
- Ensure timely delivery of features and functionality supporting the Firm’s strategic business goals.
- Maintain compliance with all applicable security, data privacy regulations and policies
- Engage with legal and non-legal members of the Firm to promote the use of the product through targeted discussions, business analysis, communications, presentations, and training.
- Proactive communication of product use with various technical and non-technical audiences.
DMS/iManage Specific Responsibilities
iManage Ownership & Roadmap
- Own the day‑to‑day running of iManage across the Firm, acting as the senior product owner for the platform and its integrations.
- Own and maintain the iManage product roadmap, balancing short‑term operational fixes with longer‑term strategic improvements.
- Stay current on the iManage product direction by attending iManage conferences and user groups, tracking releases, and maintaining direct relationships with the vendor and the wider iManage community.
- Engage actively with iManage to influence their product roadmap, ensuring that features under development reflect the Firm’s requirements and that the platform continues to evolve in a direction that supports the Firm’s strategic objectives.
- Evaluate new iManage modules, partner products and integrations against the Firm’s priorities, and recommend what to adopt, defer or decline.
Cloud Migration
- Act as a key business stakeholder in the Firm’s iManage cloud migration, working alongside Technology, vendor delivery teams and external partners to ensure that business requirements are clearly represented throughout the programme.
- Ensure the migration is delivered in a way that is optimal for fee earners (minimal disruption, clear communication, preserved workflows), for the Technology function (supportable, secure, well‑integrated), and for the Firm’s AI and knowledge strategy (data is structured and accessible for downstream use).
- Identify and escalate trade‑offs that arise during migration — between speed, cost, risk and feature parity — and contribute to the resolution of those that require senior input.
Stakeholder Engagement
- Act as the primary interface between iManage and fee earners, surfacing workflow pain points and validating proposed changes with the people who will use them.
- Work closely with the internal teams whose work intersects with document management, including the Office of General Counsel (ethical walls, conflicts and confidentiality), Information Governance (records and retention), Practice Technology (matter‑facing tools), and Knowledge Solutions (knowhow, search, AI). Translate their requirements into the iManage roadmap and feed iManage capabilities back into their planning.
- Partner with the Change Management team to ensure that new features and platform changes are communicated clearly and rolled out effectively, with appropriate training, support and post‑deployment review.
- Communicate plans, trade‑offs and decisions clearly to fee earners, partners and Technology leadership in language appropriate to each audience.
Strategy & Longer‑term Fit
- Ensure that decisions about iManage are made with reference to the Firm’s wider technology and AI strategy and consider the longer‑term impact of platform decisions on the Firm’s broader ambitions.
- Identify how iManage data and workflows can support emerging AI capabilities, including retrieval, drafting and knowledge surfacing, and ensure the platform is positioned to enable those use cases as they mature.
- Proactively identify potential risks, issues and adverse outcomes — whether technical, operational, regulatory or user‑facing — and put in place appropriate mitigations before they materialise.
- Ensure that proposed changes to iManage are evaluated against clear business benefit to the Firm and its fee earners.
Operational Quality
- Establish and monitor metrics for iManage performance, adoption and user satisfaction, and use them to drive continuous improvement.
- Work with Technology operations and the iManage vendor to ensure incidents are resolved promptly and root causes addressed.
- Maintain documentation and governance around iManage configuration, integrations and roadmap decisions.
The qualifications for this role are:
- Demonstrable experience working with iManage as a product owner, product manager, or senior technical lead — ideally in a cloud environment, or with direct experience of an iManage cloud migration.
- Prior experience working at a law firm. Domain knowledge of how law firms operate and how iManage integrates with the systems around it (matter intake, conflicts, time recording, ethical walls, document automation, knowledge tools) is required.
- Strong understanding of how fee earners work day‑to‑day and the workflows that document management must support.
- Track record of running a product roadmap: gathering requirements, prioritising, communicating decisions, and shipping.
- Experience managing complex vendor relationships and overseeing third‑party delivery teams on large platform projects.
- Familiarity with the technology and AI direction in the legal sector, with sufficient depth to engage credibly with Knowledge Solutions and AI initiatives.
- Clear and effective communicator, able to operate across fee earner, vendor and Technology audiences and to translate complex technical concepts into accessible terms.
The key competencies for this role are:
- Business‑focused, with a consistent orientation towards the needs of fee earners and the commercial objectives of the Firm.
- Strategic thinker with the ability to understand the longer‑term impact of product decisions and align platform direction with the Firm’s wider technology and AI strategy.
- Hands‑on product ownership, combining day‑to‑day platform stewardship with the ability to set and communicate longer‑term direction.
- Strong communicator, credible with partners, Technology leadership, vendors and end users, and able to articulate technical concepts in accessible terms.
- Pragmatic and outcome‑oriented, with sound judgement on prioritisation and a focus on changes that deliver tangible value.
- Risk‑aware, able to anticipate issues before they arise and put in place appropriate mitigations.
- Externally engaged, maintaining strong relationships with the iManage product community and with peers running document management at other firms.
