General Summary:
The Production Assistant plays a critical role in supporting the VP of Production and ensuring the smooth execution of production operations from order placement through final delivery. This position serves as a key liaison between Production, Sales, E-commerce, Warehousing, Factories, and External Partners, helping to manage production timelines, purchase orders, inventory flow, and delivery schedules.
The ideal candidate is highly organized, detail-oriented, proactive, and capable of managing multiple priorities in a fast-paced environment. This position is based in our NYC office, 4 days on-site, 1 day remote.
Major Responsibilities:
- Create, maintain, and update all production purchase orders (POs) through M3 (ERP)
- Enter and maintain Work-in-Process (WIP) data, ensuring accuracy of pricing, factory information, and ex-factory dates.
- Manage weekly communication with factories and vendors regarding production status and delivery timelines.
- Track and maintain critical production milestones, including cut, sew, wash, inspection, and shipping dates.
- Coordinate bulk color approvals and oversee trim approvals including UPC labels, RFID stickers, care labels, polybags, and packaging requirements.
- Track FIT, PPS, TOP, and other development samples, coordinating approvals and handoff to Technical Design.
- Manage TOP approvals and ensure all requirements are met prior to bulk shipment.
- Coordinate testing and compliance documentation with internal and external compliance teams.
- Maintain booking information, final inspection reports, and production approvals prior to freight forwarder handoff.
- Provide updates to internal teams when inventory becomes available in warehouse locations.
- Partner with E-commerce to troubleshoot data flow issues between M3 and Shopify.
- Assist with inventory management and data integrity across systems.
- Provide production and delivery information for seasonal planning and tracking.
- Create product styles and maintain accurate product information for JOOR.
- Coordinate sample requests, warehouse shipments, and influencer orders
Skills, Education, Licenses, Certificates, Registrations and/or Experience:
- Bachelor's degree preferred.
- 1-3 years of experience in production, sourcing, operations, supply chain, apparel, or a related field.
- Experience in the fashion or apparel industry preferred.
- Strong organizational skills with exceptional attention to detail.
- Self-motivated with excellent follow-through and task completion abilities.
- Strong written and verbal communication skills.
- Ability to manage multiple projects and deadlines in a fast-paced environment.
- Effective prioritization and problem-solving skills.
- Ability to work independently while maintaining a high level of accuracy.
- Proficiency in Microsoft Excel and business systems.
Salary Range: The pay range of this position is $26.45- $28.82/hour. Actual salary will be determined based off candidate’s skill sets, years of experience, and other job-related factors.
