Program Coordinator Requisition ID req37850 Working Title Program Coordinator Position Grade 10 Position Summary Plans and coordinates the day-to-day administrative and operational activities of student support programs, including the Emergency Scholarship Program and Parents & Families Programs. Duties include developing program guidelines and procedures, communicating with and advising students throughout the scholarship process, reviewing applications, advising a scholarship review committee, and coordinating awards and disbursements with University departments. Responsibilities also include program assessment, data collection and reporting, fundraising support, event planning, newsletters, website administration, and marketing and outreach. Provides administrative support for purchasing and office operations and supervises student employees. Duties & Responsibilities Program Specific Duties: Emergency Scholarship Program Writes and updates program guidelines and procedures. Maintains a changelog of programmatic improvements and updates. Communicates with students during all points of the application process, including scholarship inquiries, application coaching, committee decisions, and carries out initial review for all scholarship applications. Advises an internal scholarship review committee to maintain a consistent scholarship process and equitable student outcomes. Works directly with UNM departments in the administration of expedited awards, payments, and disbursements. Assists with fundraising tasks such as; writing opportunity stories, collaborating with the UNM Foundation on funding drives, monitoring fund health, etc. Maintains a record of all applications for tracking purposes and data collection. Performs programmatic assessments and generates reports for internal and public use. Collaborates closely with other emergency aid programs, including Dean of Students Short-term Loan Program, providing backup for application decisions, communication, and processing as needed. Program Specific Duties: Parents & Families Programs Acts as an advisor to the UNM Parent & Family Association (UNMPFA) on behalf of the University. Provides administrative assistance to the UNMPFA such as purchasing support, document maintenance, note taking, etc. Plans, writes, edits, and publishes newsletters with assistance from UNMPFA members. Organizes parent and family events such as Fall Family Weekend. Maintains event booking sites, facilitates space reservations and equipment rentals, coordinates volunteer recruitment, etc. Collaborates with department marketing staff to promote parent & family events. Maintains the parent.unm.edu website. Attends and coordinates Office of Parents and Families and UNMPFA events within the campus community. General Dean of Students Office Duties Coordinates marketing and promotional efforts for the Dean of Students Office, including supervision of marketing and outreach student assistant, coordinating tabling efforts, ordering promotional items, and consistent branding of services. Serves as primary website administrator for the Dean of Students Office and relevant programs and services. Coordinates efforts to organize and collect basic student intake data and program-specific data to help demonstrate the impact of programs on students. Provides back-up services for administrative functions such as purchasing, timekeeping, and general office administration. Supervises student employees. Additional duties as assigned. Minimum Qualifications High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified. Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis. Preferred Qualifications Preferred Qualifications 1-2 years of professional experience working within higher education, specifically in a student support role. Knowledge of UNM administrative processes, student support services/resources, and institutional financial aid systems. Prior experience coordinating programs designed to support student basic needs and/or students experiencing financial emergencies. Direct experience with one-on-one student support or advising. An ability to collaborate with staff from multiple divisions, including the Division of Student Affairs, Enrollment Management, and Finance & Administration, as well as parents and family members, volunteers, and current students. Experience working with parents or families of college students. Experience with event coordination, planning, and facilitation. Experience with website maintenance, Formstack, Office 365, Google Workspace, Banner, and other student information systems. Strong communication skills (professional writing, promotion/marketing, small-group facilitation, public speaking, etc.) Exceptional attention to detail. An aptitude for identifying and resolving barriers to student success. An understanding of basic needs insecurity and retention strategies in higher education.
