The Program Operations Specialist will:
  • Support the development and implementation of programs, activities, and processes for the Program Department for year-round programming including creating and maintaining program/event registrations to ensure positive program/event experience.
  • Develop resources and operational systems (SOPs) that support the program team to increase efficiency in work, develop resources for our members to make registration and attendance of programs accessible.
  • Provide excellent customer service to parents/families, volunteers, vendors and community partners through effective use of Salesforce and front-line interface, including answering calls, responding to voicemails and emails from queues on member inquiries on programs and events.
  • Provide efficient support to department business operations including updating program/event registrations, purchasing, tracking and coding expenses, inventory management, etc.
  • Support the Program Team in onboarding and training new staff in business operations systems and SOPs
  • Plan, prepare and deploy materials, supplies, meeting notes, correspondence and other written reports as necessary using a variety of council supported technology.
  • Other duties as assigned.
Remote work and/or office expectations:
  • Hybrid, required to work in an office or site at least 1 day per week
  • Able to work a flexible schedule with occasional evenings and weekends
  • Located in East Bay, South Bay or the Peninsula areas
Essential skills and requirements:
  • High school diploma or equivalent, and two years related experience and or equivalent combination of education and experience
  • Excellent written and verbal communication skills; facilitation skills and presentation skills
  • Confident in leading one’s own work and working effectively with others
  • Confidence in operating in cloud-based software platforms such as: Office 365 or Google Suite, and Salesforce or other Customer Relationship Management and other systems.
  • Strong interpersonal skills; ability to cultivate, motivate and maintain effective working relationships with staff and volunteers from diverse backgrounds.
  • Successful track record in a role that demands multi-tasking and prioritizing in a fast-paced, changing environment
  • Able to pass GSNorCal’s background screening process (including criminal, education, social security and Department of Motor Vehicle verification)
Desired Qualifications:
  • Bilingual in Spanish, or other language, and English
  • Knowledge of Girl Scout mission and programs
  • Strong interest in understanding and creating safe spaces that empower our youth members (K-12)
Physical Requirements:
  • Ability to lift and/or move up to 25lbs (boxes, materials, equipment)
  • Possess physical endurance including prolonged standing, bending, stooping, and stretching
