Job Title: Project Coordination Specialist
Monthly Pay: $3,721 - $5,558 USD per month
Summary:
A project request arrives, gets checked, becomes a tracked set of tasks, and closes with confirmed outcomes and clear handoff notes. This Project Coordination Specialist sits within the project management team, works under a project manager, and keeps routine coordination details accurate so work can move forward without avoidable delays. The specialist works with task owners, department contacts, and project stakeholders to clarify updates, surface dependencies, and maintain a shared view of progress. This fully remote position offers work from home in Ohio, United States. The role requires a 40-hour weekly commitment. Working days and shift times may vary.
Job Responsibilities:
- Review incoming project requests from a shared email inbox or task queue, checking the requested outcome, priority, owner, and target completion date.
- Ask requesters for missing information and record confirmed scope, key contacts, dependencies, and next steps before sending requests to the project manager.
- Maintain task boards using a Project management tool such as Trello, keeping assignments, due dates, status labels, and supporting links current.
- Prepare meeting agendas from open tasks and outstanding decisions, gather updates from contributors, and share materials before scheduled project discussions.
- Capture meeting decisions, assigned actions, and agreed dates, then circulate concise notes so participants understand their responsibilities and immediate next steps.
- Check task progress with owners, compare updates against the agreed plan, and follow up when expected information or completion confirmations are missing.
- Identify conflicting dates, blocked tasks, or unclear ownership and escalate these issues to the project manager with relevant context and available options.
- Prepare routine status summaries covering completed work, upcoming milestones, outstanding questions, and dependencies that need attention from the wider project team.
- Confirm finished tasks with their owners, organize handoff notes for receiving teams, and update project boards after the project manager approves closure.
- Maintain quality through accurate task details, timely updates, complete meeting notes, and consistent follow-up, incorporating feedback from project manager reviews.
Qualifications:
- High school diploma or equivalent.
- About 1-2 years of project coordination, administrative support, or related team support experience preferred.
- Understanding of project stages, task dependencies, milestones, ownership, and the difference between an update and an approved change.
- Familiarity with shared task boards and the ability to learn the named project management system through guided practice.
- Ability to organize incoming requests, verify essential details, and maintain clear task histories without losing context.
- Clear written and verbal communication for requesting updates, preparing meeting notes, and explaining outstanding questions to different stakeholders.
- Sound judgment about when to follow up directly and when to refer conflicting priorities to the project manager.
- A reliable computer, high-speed internet, and a quiet private workspace, with availability for the 40-hour weekly commitment and agreed working days and shift times.
- Authorization to work in the United States.
Perks & Benefits:
- Fully remote work from home in Ohio, with desk-based responsibilities and collaboration through shared online systems.
- Structured onboarding and training on Trello, task tracking practices, meeting preparation, and the team's handoff process.
- Regular check-ins with the team lead to review priorities, discuss obstacles, and receive practical feedback.
- Opportunities to build project planning, stakeholder coordination, status reporting, and task tracking skills through everyday assignments.
- Health coverage, paid leave, a 401(k), maternity leave, and bonus opportunities.
